Executive & administrative assistant (part-time, remote) about the role we’re looking for a proactive, detail-oriented executive & administrative assistantto support a multidisciplinary artist and creative entrepreneuracross her personal brand, projects, and business operations. You’ll be her right hand— helping manage communications, schedules, and priorities — and ensuring that projects move forward smoothly. This is a role for someone who thrives on organization, consistency, and accountability, not someone who needs to be micromanaged. You’ll be trusted to take ownership, stay one step ahead, and create clarity so the artist can focus on her creative work. Key responsibilities: - executive & admin support:manage calendars, schedule meetings, confirm details, and ensure everything runs on time. - inbox management:organize, filter, and draft responses; make sure every message is tracked and followed up. - task tracking & project management:keep asana (or similar tool) updated daily — with priorities, next steps, and due dates. - meeting preparation:ensure meetings start on time (camera on), prepare agendas, take notes, and record clear action items. - status updates:send concise weekly reports summarizing progress, blockers, and next steps. - documentation & process organization:keep sops and notes structured for easy reference. - vendor & collaborator coordination:communicate with partners, students, clients, or production contacts as needed. What we’re looking for: - someone autonomous, dependable, and proactive— who doesn’t wait to be told what to do. - extremely organized, detail-oriented, and consistent in follow-up. - comfortable working with a creative personality— balancing flexibility with structure. - excellent written and verbal communication in english. - punctual and professional: always on time to meetings and responsive during working hours. - familiar with tools like google workspace, asana, slack, canva, kajabi, or shopify(nice to have). - type a personality— enjoys structure, order, and clear documentation. Work style & availability: - part-time position, starting around 15-25 hours per week (to be defined). - flexible schedule, but must be available for morning meetings (pst time)and responsive during work hours. - remote from anywhere in the americas time zones. - limited check-ins (1-2 per week), so self-management is essential. - paid 2-week trial periodbefore official onboarding.
