Junior administrative assistant (kuadra)

at kuadra, we are looking for a junior administrative assistant to work onsite in hermosillo.

responsibilities
* managing the director's schedule.
* customer service.
* file administration.
* collection and follow‐up with clients.
* keeping the customer database up to date.
* sending correspondence to clients.
* providing support to the director and department administrator.
* billing.
requirements
* advanced english is essential (spoken).
* degree in business administration or related field.
* excellent communication skills.
* preferably 1 year of experience in administrative tasks.

working hours are monday to friday, sgmm, grocery vouchers.

responsibilities
* compile, proofread, and revise drafts of legal documents and reports, ensuring accuracy and adherence to legal standards.
* obtain relevant information from other organizations or agencies, maintaining confidentiality and professionalism.
* create and organize information, ensuring that documents and data are easily accessible and properly filed.
* prepare and format legal reports, ensuring compliance with legal requirements and firm guidelines.
* maintain and update databases and tracking systems, ensuring accuracy and completeness of information.
* upload documents and manage incoming mail, ensuring timely and efficient handling.
* respond to all case‐related inquiries promptly and professionally, providing excellent customer service to clients and colleagues.
* communicate effectively with immigration agencies, clients, and teammates, both orally and in writing.
* perform other duties assigned.
qualifications
* minimum of +6 months of experience as an administrative assistant.
* bilingual in english and spanish, (written/oral); fluency in both languages is mandatory.
* exceptional written and verbal communication skills.
* excellent research and time management skills.
* detail‐oriented with strong organizational skills.
* familiarity with key legal principles and procedures is a plus.

responsible for office administration and daily clerical duties including basic schedule planning, travel arrangements, documentation, and file maintenance. Other responsibilities include scheduling conferences/meeting rooms and responding to general inquiries. They create and maintain office documentation and files and review drafts and finished internal/external communication documents.
