We are looking for an administrative/executive assistant to support our loan officer in managing leads, calendar, and database to ensure smooth workflow and satisfied clients. What you’ll do: lead management contact new leads within 4 hours maintain 80% lead-to-consultation ratio. Maintain 60% lead-to-application ratio log and track all leads accurately in crm. Generate daily, monthly, quarterly, and annual lead reports. Calendar and scheduling schedule 20 appointments weekly confirm 100% of appointments at least 24 hours in advance. Review and prepare next-day schedules before end of day. Answer at least 90% of incoming calls for the loan officer and team. Coordinate ongoing business partner meetings and “power hour” sessions. Database and client engagement maintain an organized crm and contact database. Coordinate 2 monthly client or partner events. Manage gift and mailer programs (5 gifts and 500 mailers monthly). Execute quarterly communications (letters, newsletters, and success updates). Manage birthday and home anniversary campaigns. Other responsibilities ensure loan officer stays on track for all daily commitments. Manage inbox and correspondence. Support technology tools and systems. Anticipate needs and proactively support administrative tasks. What we’re looking for: experience in the mortgage or lending industry is required. High school diploma or equivalent (college preferred). Proficiency in microsoft office suite (word, excel, powerpoint, outlook, onenote). Excellent verbal and written communication skills. Strong organizational and time management skills. Ability to prioritize, multitask, and perform under pressure.
