about the role
we are hiring a business development coordinator to support our client's three studio leads — immersive, film, and brand — across prospect research, outreach, meeting setting, follow-up, and crm management.
our client is a creative agency. The studios sell immersive experiences, film and animation, and brand work into priority verticals: energy, government, tech/ai, defense, and premium experience. Right now the studio leads are setting their own meetings, running their own outreach, and farming their own pipelines alongside the creative work. That is not sustainable.
this is a high-trust role for someone who can take business development logistics off the plates of senior creative leaders and help build a more consistent, scalable pipeline across all three studios.
this is not a closer role. The studio leads sell. This role is the engine that keeps their calendars full of the right conversations and makes sure no opportunity dies from neglect.
what you’ll own
* research and identify qualified prospects across the agency's priority verticals (energy, government, tech/ai, defense, premium experience) and across each studio's capabilities
* build and maintain target lists aligned with each studio's pipeline needs, starting from each studio lead's existing network and expanding from there
* do the detective work for conferences and events: figure out who is attending, who the keynote speakers are, who the studio leads should meet, and which dinners and side events to get on the list for
* support thoughtful outbound outreach and meeting setting with the right contacts at the right organisations, positioned around the right studio capability
* manage follow-up and farming for warm leads, past clients, and opportunities that need continued attention
* monitor every reply, signal, and inbound that comes back from outreach and surface it to the right studio lead the same day. Nothing sits for a week.
* keep pipedrive current, organised, and reliable so leadership can pull pipeline reports without asking anyone to update anything first
* support conference and event preparation including pre-event outreach, meeting scheduling, and post-event follow-through
* track outreach activity, responses, next steps, and action items across all three studio leads
* help build repeatable outreach cadences each studio lead can sustain over time
what success looks like
* each of the three studio leads has a steady rhythm of qualified meetings they did not have to source themselves
* a visible pipeline is building across at least two verticals per studio
* outreach is targeted, thoughtful, and aligned with the agency's brand
* warm leads and past clients are being followed up with consistently
* pipedrive is clean, current, and trusted for visibility into pipeline activity
* every reply, signal, or warm intro is surfaced to the right studio lead the same day it comes in
* studio leads spend less time on sourcing, outreach logistics, and follow-up
what we’re looking for
* 3+ years of experience in business development support, sales support, lead generation, or executive support for senior client-facing leaders
* knowledge of creative services and the kind of work this agency sells: immersive experiences, film, animation, brand. This is the most important qualification.
* strong research and "detective" skills. You can find out who is attending a conference, identify the right person at a target organisation, and surface intelligence from linkedin that is not obvious.
* experience supporting outbound sales or business development teams, ideally in a creative agency, production company, or adjacent professional services environment
* strong written communication and professionalism in outreach and follow-up
* real persistence and detail-orientation. You do not let things sit.
* proactive and self-directed, with the confidence to manage up and keep momentum moving across three studio leads at once
* experience using a crm to track pipeline activity and maintain clean records
* comfortable working u.s. business hours (central time)
* comfortable communicating async over slack, email, and video messages (loom or similar)
strong fit if you also have
* experience selling, supporting sales, or doing bd inside a creative agency, production company, animation studio, or brand studio
* experience with pipedrive
* experience coordinating conference or event-related outreach in industries like energy, government, tech/ai, defense, or premium hospitality and experience design
* experience working directly with founders, partners, or studio leads
* a track record of remote work in a high-trust support role
