The sales operations coordinator is a hybrid role designed to be the \"primary engine\" for lead conversion and the right hand of the sales operations director, while also providing strategic support to the broker. This position is defined by a high-intensity, sales-driven approach, acting as an inside sales agent (isa) to ensure no lead in real estate, new development, or hospitality is left without immediate follow-up. The goal is to maximize commercial effectiveness and ensure successful pipeline conversion through an obsessive \"hunter\" mentality and professional ecosystem management.
key responsibilities
sales operations & lead management
* discovery & qualification: act as the primary first point of contact for all incoming leads; execute discovery calls to profile budget, timing, and needs before hot-transferring to the broker.
* crm mastery (hubspot): serve as the power user for hubspot/property base, documenting every interaction, moving deals through the pipeline stages, and ensuring data integrity.
* persistent follow-up: execute a rigorous, call-center style follow-up strategy with leads through multiple touchpoints to ensure zero lead leakage.
* executive pipeline support: provide direct assistance to the broker by organizing email inboxes, prioritizing urgent commercial communications, and ensuring the calendar is optimized for sales appointments and client meetings.
operational support
* field support: provide on-demand support for on-site activities to maintain operational fluidity.
* agility & resolution: act as a proactive problem-solver for immediate operational needs, ensuring the sales director's projects without friction.
* information security: ensure absolute confidentiality and discretion in handling sensitive business, financial, and high-net-worth client information.
executive support & assistance
* strategic gatekeeping: manage and prioritize the broker’s calendar and email inboxes as a delegate, filtering urgent messages to protect time for high-value closing activities.
* communication management: draft and edit high-impact emails, memos, and professional communications in both english and spanish on behalf of the leadership.
* meeting logistics: coordinate itineraries, send reminders, and oversee logistics for events, catering, or entertainment to ensure a seamless client experience.
* office support: support front-desk operations by welcoming visitors and identifying the purpose of their visit to facilitate internal communication.
qualifications
* experience: 3+ years of applicable work experience as an executive assistant with a strong background in sales support, project management, or isa roles.
* language skills: proficient verbal and written communication in both english and spanish is required (c1/c2 level).
* education: a bachelor's degree in business, finance, management, and/or administration is preferred.
* crm expertise: demonstrable history as a hubspot power user (preferably property base), with a focus on lead management and reporting.
* technical skills: essential proficiency in microsoft office suite and google docs.
* mobility: as the role includes field support and operational fluidity, the candidate must have a vehicle and the willingness to travel.
* profile: balanced profile combining a proactive, “call-center” energy for business development with rigorous administrative project management, capable of navigating complex luxury real estate timelines.
