Overview
performs a wide range of administrative functions to support senior executives and the organization’s functional areas. The role involves compiling and preparing reports and graphs, analyzing data, presenting recommendations, managing calendars, arranging travel, processing expense reports, and maintaining filing systems.
responsibilities
* compile data for presentations of reports and graphs across departments such as engineering, production, quality, and purchasing.
* seek, validate, and analyze data; formulate recommendations for executive decision‑making.
* maintain file systems, including correspondence, memos, documentation, and confidential files.
* contact key internal and external personnel to obtain or provide information.
* manage multiple directors’ calendars, schedule appointments, and coordinate meetings across global teams.
* arrange domestic and international travel, including flights, hotels, and car rentals for executives and interview candidates.
* oversee, analyze, and process business invoices and expense reports.
* compose and proofread correspondence and emails; prepare meeting agendas, notifications, and supporting materials.
* screen calls, transcribe voicemails, and handle routine inquiries.
* track project progress, maintain dashboards, and develop powerpoint presentations.
* support executive meetings by creating timelines, distributing materials, and updating agendas.
* maintain highly organized filing and task‑management systems; perform general clerical duties such as mail handling, photocopying, and online ordering.
* run errands, including occasional personal errands, while maintaining confidentiality and professionalism.
* participate in continuous improvement initiatives using the eaton business system and continuous improvement framework.
* provide assistance to key staff members and functional projects as needed.
qualifications
* high school diploma or technical degree; undergraduate degree preferred for certain roles.
* 1–5 years of progressive administrative support experience, including roles supporting senior executives.
* advanced english proficiency (spoken and written); bilingual spanish and english is a strong advantage.
* intermediate to advanced proficiency in microsoft office (word, excel, powerpoint, outlook); familiarity with adobe acrobat, photoshop, and illustrator is a plus.
* excellent written and oral communication skills; strong grammar and proof‑reading abilities.
* project‑management skills; pmp certification preferred but not required.
* experience with domestic and international travel booking and expense report processing.
* ability to exercise good judgment, work independently, manage multiple priorities, and adapt to changing deadlines.
* experience in a fast‑paced, global environment with strong confidentiality and discretion.

work conditions
* full‑time, on‑site position in rosarito, b.c.
