who we're looking for:
we are seeking a highly organized and professional administrative assistant to join our team in monterrey. This individual will provide critical day-to-day support to our leadership and staff while helping to ensure the efficient operation of our firm.
key responsibilities:
 * answer and direct telephone calls
 * manage and log all shipping and receiving of drawings and parcels
 * perform accurate data entry and maintain various internal records
 * track staff attendance and assist with timesheet documentation
 * manage calendars and assist with meeting scheduling
 * help coordinate and set up for office and client meetings
 * take and distribute clear, organized meeting notes
 * assist staff with travel arrangements and process travel reimbursements
 * perform credit card receipt reconciliation and reporting
 * sort and distribute incoming mail, shipments, and courier deliveries
 * scan, file, and organize both digital and hard-copy documents
 * oversee maintenance and replacement of office equipment (i.e. printers, copiers, faxes, av systems) and coordinate office supply inventory
 * assist with the planning and execution of internal meetings and special events
 * support general office upkeep and presentation to ensure a professional work environment
qualifications:
 * minimum 3 years of administrative experience in a professional office setting
 * proficiency in microsoft office suite (outlook, word, excel)
 * proficiency in mac/apple related products and related office software
 * exceptional organizational, communication, and time management skills
 * detail-oriented with a proactive and solution oriented approach
 * ability to handle sensitive information with discretion and professionalism
 * ability to multitask and work independently
