job mission:
to provide support to the acquisitions team by placing orders, following standard order processing procedures, and ensuring accurate data entry, structured data organization, and order follow-through required to support design service’s purchasing projects.

general description:
to be successful in this role, the applicant must be well-organized, detail-oriented, possess great communication skills, and have a background in purchasing, bookkeeping, accounting, or administration. The acquisitions & administration assistant will assist the acquisitions & administration manager with order processing, data entry, payment processing, and account monitoring. They will also notify team members of issues and resolve problems efficiently as they arise.

duties and responsibilities:

* place orders with mexican and american vendors.
* assist with os&e orders, receiving, installation, and final completion if needed.
* liaise with vendors to confirm details and resolve discrepancies.
* cross check data against vendor invoices and update studio designer software accordingly.
* ensure proper pricing and data entry in studio designer.
* notify project managers of price changes, discontinued items, or problematic items within 48 hours of vendor notification, documenting issues and following up until resolved.
* request facturas from mexican vendors for payment processing.
* obtain mexican vendor account information for the finance team to create new vendors in the system.
* assist the design team with data entry, pricing, specifications, and proposals as needed.
* file documents systematically in sharepoint and upload them to studio designer based on procedures.

requirements:

* advanced proficiency in english
* 2-4 years of experience in purchasing, accounting, bookkeeping, or administration
* proficiency in studio designer or similar software
* proficiency in microsoft office, especially excel
* ability to build and maintain vendor relationships
* well-organized with high attention to detail
* effective time management skills to meet deadlines
* ability to handle multiple projects simultaneously
* ability to work independently and self-direct
