about the role:
we are seeking a highly organized and tech-savvy loan officer assistant to play a key role in our high-performing u.s. mortgage team. This is not just a support role; you will be the engine that keeps our borrower communication and loan documentation running smoothly and efficiently.
in this role, you will be the right hand to your loan officer, managing the entire lifecycle of a loan, from the moment a lead comes in, to helping clients complete their applications, to ensuring all documents are perfect for underwriting. We leverage modern ai tools to automate tasks, and we need someone who is proactive, loves a well-defined system, and is passionate about creating a "raving fan" experience for every client.

requirements:
key responsibilities:
lead & client intake: answer inbound calls and follow up with new leads within 30 minutes. Schedule client meetings (zoom or phone) and assist them in completing their online mortgage application
loan file management: review and clean the 1003 application for accuracy. Request, organize, and upload all required borrower documents. Perform basic income calculations using our internal tools.
pipeline tracking: track critical loan milestones including disclosures, closing disclosures, loan estimates, and final signings.
document scrubbing: scrub all borrower documents for accuracy, legibility, and completeness. Identify potential issues like large deposits or missing signatures.
client follow-up: manage post-close follow-up, including thank-you cards, client gifts, and updating the crm with future touchpoints (30/60/90-day follow-ups, birthdays).
technology & ai: use provided ai tools (like chatgpt and canva) to automate tasks, improve writing, and create marketing materials.
what we're looking for (qualifications):
advanced english (both spoken and written) is mandatory.
experience with crm data entry and workflow management (e.g., gogenie, arive, pipedrive, or similar).
basic knowledge of or a strong willingness to learn the u.s. mortgage process and documentation.
excellent attention to detail and organizational skills. You are the type of person who spots errors others miss.
proficient in google workspace (gmail, sheets, docs).
proactive, independent, and responsive, able to work with minimal supervision.
a positive attitude toward learning new technology and ai tools.
bonus points (preferred):
1+ years of experience as an loa, processor, or in mortgage sales support.
direct experience with uwm's portal.
