*position summary*:
the office manager will be responsible for overseeing the daily administrative and operational functions of the clinic, providing essential support to both patients and staff. This role requires a proactive, detail-oriented individual with strong leadership and communication skills, capable of managing diverse responsibilities in a fast-paced healthcare environment.
*key responsibilities*:
- manage and monitor crm tasks and notifications, ensuring timely follow-up.
- generate patient invoices, process payments, and manage collections.
- answer and direct all incoming phone calls during business hours.
- handle cash payments, including currency exchange and daily bank deposits.
- order and process payments for medical passes.
- maintain optimal inventory levels of consumables, medications, food, and gift bags.
- ensure all treatment protocols are accurately quoted to patients.
- process daily payments as required.
- maintain cleanliness of the office and manage trash disposal.
- receive and organize materials and pharmacy supplements.
- procure supplies from various vendors (e.g., costco, smart & final, office depot) as needed.
- travel to san ysidro for mailing tests and collecting packages from the po box.
- update and maintain the profit and loss spreadsheet weekly, generating monthly financial reports with income specified per patient and per treatment.
- process vendor and employee payments according to schedule.
- communicate daily with the clinic owner and general director/administrator.
- schedule patient appointments efficiently.
- collect payments over the phone for tests and deposits.
*qualifications*:
- bachelor's degree in administration or accounting.
- experience in an office management role, preferably within the health sector (is a plus).
- bilingual proficiency (spanish and english) is essential.
- proven negotiation skills.
- strong organizational and multitasking abilities.
- excellent communication and interpersonal skills.
- proficiency in crm software, accounting software, and microsoft office suite (especially excel).

*schedule*: monday to friday, 9:00 am - 5:00 pm, with occasional saturdays in exceptional situations.
