we are professionalizing our operations so the ceo can step out of day-to-day work while the cio (chief inspirational officer) elevates culture, process, and customer experience.
role summary
you will directly support the ceo (andres) and cio (susy). You'll handle executive admin, light bookkeeping, reporting hygiene, and project coordination across u.s.–mexico time zones. We prefer candidates based in mexico city (or mexico) with prior experience supporting international companies.
key responsibilities
* executive support: inbox triage, calendar management, travel logistics, meeting prep, note capture, follow-ups.
* documentation & reporting: clean up templates, version control, light editing/proofing; maintain trackers in google sheets/docs; prepare weekly rollups.
* light bookkeeping: vendor bills, receipts, categorization in quickbooks online, basic reconciliations, ar reminders; coordinate with cpa/bookkeeper.
* crm/lms help: data entry hygiene, pipeline/list exports, qa of lead follow-up logs (per sops), simple automations (labels, tags).
* communication: draft emails/sms snippets for customer service; translate short documents enes; coordinate with salon managers.
* research & purchasing: vendor quotes, comparisons, and simple procurement per policy.
* confidentiality & compliance: handle pii/financial data discreetly; follow data-handling sops.
must-have qualifications
* bilingual: professional english & spanish (cefr c1+ in english).
* 2+ years as va/ea/operations assistant for an international company or u.s. client.
* practical bookkeeping exposure (quickbooks online, receipts, categorization, reconciling basics).
* high proficiency with google workspace (docs, sheets, drive, calendar), excel, zoom; fast typist.
* structured, detail-obsessed, able to follow sops, and write clear status updates.
* reliable internet, quiet workspace, and at least 3–4 hours/day overlap with central time (america/chicago).
nice-to-have
* experience with crms (mindbody), teams, loom, clickup/asana.
* advance data analysis in sheets/excel (filters, pivot tables, lookups).
* light design/formatting skills (canva) for internal docs or one-pagers.
engagement & hours
* part-time contractor (10–15 hours/week). Growth potential based on performance.
* core collaboration window: 9:00–13:00 cst (flexible by agreement).
compensation
* competitive hourly rate in mxn, benchmarked to mexico city bilingual admin talent with bookkeeping exposure.
* performance-based increases available after 90 days.
