We’re looking for an customer operations administrator to join our latam customer operations team and play a vital role in the day-to-day execution of order fulfillment, logistics, data accuracy, and customer service.
about the role
as the customer operations admin, you’ll be the go-to person supporting order processing, logistics coordination, master data maintenance, and customer service tasks across latin america. You’ll ensure that systems are aligned, orders are accurate, and deliveries run like clockwork — all while collaborating with internal teams and external partners.
responsibilities
* manage customer orders (manual and edi) for latam and mexico, ensuring timely and accurate processing.
* generate invoices, process credits, and monitor delivery status.
* oversee campaign data entry and ensure precise billing (e.g., privalia).
* analyze product costs and coordinate cost deviation communications.
* customer service & communication – handle customer complaints related to shortages, faults, or late deliveries.
* support mailbox and email management for the latam operations team.
* align with operations specialists to streamline customer delivery experiences.
* logistics & import coordination – track product and display material shipments to warehouses.
* support import documentation and compliance across latam.
* coordinate deliveries from the u.s. and asia in alignment with local regulations.
* it interfaces & data integrity – reconcile inventory and sales data across systems.
* monitor and resolve system discrepancies and pricing issues.
* support error tracking and interface accuracy (customer/product master data).
* follow up on returns, shipping documents, and warranty support cases.
* assist in managing spare parts and monthly service invoicing.
* project support – participate in testing and implementation phases of new system rollouts or projects.
qualifications
* bachelor’s degree in business, logistics, industrial engineering, or related field.
* 1–2 years of experience in operations, order processing, or supply chain.
* familiarity with sap and edi systems (a strong plus).
* strong analytical, administrative, and communication skills.
* bilingual in spanish and english (written and spoken).
