Duties and Responsibilities:
We’re hiring a world-class Executive Assistant to partner with a high-performing real estate developer, agent, and investor.
This is not your average Executive Assistant role. It's a mission-critical partnership. You’ll operate as an extension of the Executive — managing the complexity across both business and personal realms while acting as a trusted right hand. You’ll operate at the intersection of anticipation, communication, and trust — ensuring he has the space to execute at an elite level.

You will become the operational backbone that enables the Executive to perform at the highest level. From handling his calendar like a grandmaster to facilitating sensitive communications, preparing him for critical meetings, managing projects and solving problems before they surface — you will run point on the details so he can lead without friction.

Responsibilities
Own and manage an evolving set of professional and personal calendars.
Prioritize meetings, prep logistics, and ensure time is aligned with highest-leverage opportunities.
Serve as the Executive’s gatekeeper when it comes to how he leverages his time.
Triage emails, manage communications, draft responses, and facilitate alignment with internal and external stakeholders — all with clarity and urgency.
Prepare agendas, take high-fidelity notes, and ensure follow-through on next steps.
Attend daily standups (including weekends when needed) and mission-critical meetings (virtually) to support the Executive’s execution and accountability.
Own the logistics of business and personal travel: flights, accommodations, backup itineraries, confirmations, contingencies — all planned in advance, down to the detail.
Support the Executive in personal affairs including scheduling, home logistics, and life optimization.
Lead or assist on special projects (both personal and professional), and orchestrate moments with precision and polish.
See around corners. Remove obstacles. Solve problems before they escalate.
Operate with full awareness of the Executive's bandwidth, energy, and priorities.
Manage communication with stakeholders externally and internally on behalf of the Executive. Fluency in Spanish is a huge plus to communicate with contractors and sub contractors.
Own follow up communication and action items on behalf of the Executive as well as manage any projects related to his responsibilities.
Exercise sound judgment and make independent decisions on behalf of the Executive, proactively solving problems and taking action without needing step-by-step direction.
Step in wherever needed with a proactive mindset and strong sense of ownership — whether the task is personal or professional — demonstrating flexibility, problem-solving, and a willingness to take initiative when priorities shift or gaps appear.

Nonessential time drains are eliminated, strategic blocks are protected, and energy allocation aligns with long-term goals.
Messages are triaged, responses are crafted with his voice and standards, and only signal (never noise) reaches his attention.
Projects are managed with diligence and foresight of potential bottlenecks.
Agendas are ready in advance, materials are at-hand, and action items are captured and closed without reminders.
Every trip — whether personal or business — is prepped with layered contingencies, clear itineraries, and zero detail missed.
From scheduling appointments to home operations, personal responsibilities are managed with the same discipline as business.
You function as a true extension of his — thinking ahead, taking initiative, and making decisions with his interests and standards in mind.
You manage sensitive information and relationships with unshakable discretion, integrity, and professionalism.
You build systems to prevent chaos, follow through without nudging, and remove yourself as a bottleneck from every process you touch.

Excellent English Communication Skills (Spanish Fluency is nice to have)
Education:
Bachelor's Degree (ideally)
Experience:
4+ years of related experience

4-5 YOE in an Executive or Personal Assistant role supporting founders, C-level execs, or high-net-worth individuals.
