This role ensures every event runs smoothly from booking to post‑event follow-up. We’re looking for someone organized, proactive, detail‑oriented, and comfortable working in a fast‑moving, deadline-driven environment. ✨ responsibilities client & event coordination serve as the primary point of contact for clients, speakers, and internal teams. Collect slide decks, event materials, and deliverables. Track pre‑event tasks, deadlines, and follow-ups. Provide proactive communication to ensure seamless event execution. Schedule calls or meetings for the sales team. Contract & crm administration enter and maintain accurate crm data ( hubspot is mandatory ). Create, assign, and track tasks for account executives. Review contracts and coordinate revisions, approvals, and signatures. Maintain up-to-date speaker and client profiles. Financial & expense support request and organize speaker receipts for reimbursements. Support invoice preparation and track payment timelines. Research & relationship growth identify new contact opportunities within existing client accounts. Research industries, organizations, and event opportunities. Cross-functional collaboration work closely with finance and operations. Join team meetings and suggest workflow improvements. Qualifications bachelor’s degree or equivalent experience. 1–4 years in client service, event coordination, operations, or similar roles. Excellent written and verbal communication skills. Strong organizational and multitasking abilities. Proficiency in microsoft 365 and hubspot crm (non‑negotiable). Ability to work independently and as part of a team. Strong judgment and problem‑solving skills. Comfortable working in fast-paced environments with shifting priorities.
