the firm is seeking a highly organized and proactive executive virtual assistant to provide direct support to a board member. This role goes beyond traditional administrative work — it requires someone who can anticipate needs, manage complex schedules, and ensure that operations and communications run seamlessly. The ideal candidate is detail-oriented, discreet, and capable of juggling multiple priorities in a fast-paced professional environment.

what you\'ll do
* email & communication management
* monitor and manage all incoming emails and whatsapp/text messages.
* schedule appointments and follow-ups based on communication flow.
* flag urgent matters and prepare 15-minute call reminders in the calendar.
* follow up on any outgoing orders
* alert the executive of any urgent matters
* follow up on projects to make sure things are moving along
* calendar & meeting coordination
* maintain and optimize a dynamic calendar; prevent double-bookings.
* confirm appointments, prepare zoom links, and ensure access across accounts.
* plan an annual calendar of trips, tax appointments, and urgent calls.
* zoom links should alternate between re1 and oaktree account to ensure you can join the upcoming meeting even if the previous one is still in progress.
* travel & logistics
* book flights, hotels, and ground transportation; track itineraries in shared google spreadsheets.
* handle flight check-ins 24 hours prior and ensure expense allocations to correct accounts/cards.
* ask your manager what card to use to book his travel with rha, personal, or keswick (those are what we call the cards).
* compliance & filing oversight
* lay out the calendar for the year with trips and tax appointments.
* coordinate with the tax appointment scheduler to make sure all days are correct and work in any urgent calls to his google calendar.
* financial & investment support
* monitor multiple company deadlines for state filings. Do the state filings. The list of companies and deadlines is on the front of a binder. For the companies that are in wy, we use two companies called rasi and wyoming registered agent services llc. You just have to pay their invoices; they do the work.
* we use the registered agent services companies for privacy. If we are using them, chances are that your manager does not want his name visible on the secretary of state website, so you will need to fill out the paperwork accordingly. The companies can help walk you through how to fill them out.
* data & reporting
* update and maintain weekly business and operational statistics.
* track key information across multiple projects and investments.
* personal support & appointments
* schedule and coordinate medical and dental appointments.
* organize personal commitments to align with the professional schedule for efficiency.
* general executive support
* scheduling medical and dental appointments,
what you need
* proven experience as an executive assistant or virtual assistant, preferably supporting c-level or board-level executives.
* exceptional organizational skills with the ability to manage multiple priorities.
* strong communication skills, both written and verbal, with high attention to detail.
* comfortable managing sensitive information with discretion and confidentiality.
* proficiency with google workspace, zoom, and task/project management tools.
* resourceful, proactive, and solutions-driven with a strong sense of ownership.

* the position is immediately available and requires entering into an independent contractor agreement with tlnt.
