us-based live events & entertainment group delivering premium, high-end experiences. One of its core units focuses on luxury weddings, working closely with couples, planners, venues, and vendors.
about the role
you'll support a senior creative & sales lead by organizing operations, keeping sales moving, preparing meetings, and transforming rough ideas into polished, client-ready proposals.
this role combines operations, executive support, and creative tasks, including canva-based proposals and presentations, client and vendor communication, and internal coordination.
this is not a basic admin role. We're looking for someone proactive, visually sharp, and comfortable supporting a fast-moving, creative leader.
responsibilities
* manage inbox, calendar, follow-ups, and reminders
* track leads, proposals, contracts, deposits, and next steps
* prepare meetings and handle post-meeting follow-ups (notes, action items)
* create and polish proposals using canva and google slides
* draft client and vendor emails (client-facing, professional english)
* support event coordination with timelines, floor plans, and documentation
* assist with light social media and basic marketing support
* work within crms and project management tools to keep operations organized
requirements
* advanced / fluent english (written & spoken)
* experience as an operations assistant, executive assistant, or sales assistant
* strong organizational skills and attention to detail
* hands-on canva experience (required)
* ability to turn messy input into clean, client-ready output
* proactive, reliable, and comfortable owning tasks end-to-end
nice to have
* experience in events, weddings, hospitality, or creative agencies
* experience supporting sales leaders, founders, or executives
* familiarity with crms, email automation, and pm tools
