Job Summary: We are seeking a detail-oriented and proactive Administrative Assistant to join our team in Sinaloa, Mexico. The ideal candidate will support day-to-day administrative tasks, manage expense reports, handle hotel bookings, and provide general administrative assistance to ensure smooth office operations.
Key Responsibilities:
- Administrative Support:
- Perform general administrative duties, including filing, data entry, and managing correspondence.
- Maintain office supplies inventory and place orders as necessary.
- Assist in organizing and scheduling meetings and appointments.
- Expense Reports:
- Prepare and submit expense reports for staff and management.
- Ensure accuracy and compliance with company policies.
- Track and reconcile expenses and reimbursements.
- Travel and Accommodation Arrangements:
- Coordinate travel arrangements, including flights, transportation, and hotel bookings.
- Prepare travel itineraries and ensure all travel plans are documented and communicated to relevant parties.
- Assist with visa applications and other travel-related documentation.
- Office Management:
- Maintain an organized and efficient office environment.
- Assist with the setup and coordination of company events and meetings.
- Handle incoming and outgoing mail and packages.
- Communication:
- Serve as the first point of contact for visitors and callers, providing a professional and friendly reception.
- Communicate effectively with internal and external stakeholders.
- Document Management:
- Assist in the preparation, formatting, and distribution of documents and presentations.
- Maintain accurate records and ensure documents are properly filed and archived.
- Other Duties:
- Support other administrative and operational tasks as required by the Director of Mexico and other team members.
- Contribute to the continuous improvement of administrative processes.
Qualifications:
- High school diploma or equivalent; additional qualifications in Office Administration are a plus.
- Proven experience as an administrative assistant or in a similar role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent organizational and time management skills.
- Strong attention to detail and problem-solving abilities.
- Ability to multitask and prioritize tasks effectively.
- Strong communication and interpersonal skills.
- Fluent in English and Spanish.
