Responsibilities
receive and preliminarily collect various departmental documents (such as material request forms, goods receiving notes, expense claims, purchase requests, etc.), ensuring that the basic information is complete.
Responsible for entering and organizing departmental data, including inventory inquiry logs, receiving/shipping/stock summary sheets, and overtime records.
Manage departmental files, including both physical document filing and backups of the electronic filing system, ensuring clear categorization and easy retrieval.
Assist the department manager with meeting arrangements, minutes drafting, and task follow-up.
Handle routine administrative tasks, including office supply requests, attendance tracking, and visitor reception.
Manage the receipt, dispatch, registration, and delivery of internal and external documents and correspondence.
Assist in collecting and conducting preliminary reviews of departmental expense claims to ensure compliance with the company’s financial policies.
Maintain order and cleanliness in departmental workspaces, supporting 5s implementation.
Assist in collecting basic data and generating reports, including monthly shipping summaries and anomaly log statistics.
Perform other administrative or coordination tasks assigned by supervisors.
Qualifications
intermediate english.
Bachelor’s degree completed.
3 years of experience in the role.
Proficient in microsoft office (excel, word, powerpoint) and office automation systems.
Strong document management and filing skills/techniques.
Basic knowledge of data entry and statistics.
Familiar with the company’s administrative procedures and financial reimbursement processes.
Preference will be given to candidates able to perform basic queries in the company’s internal erp/wms systems.
