*about the role*:
we are a growing transportation brokerage firm seeking a reliable, organized, and highly professional *executive assistant* to support our ceo. This independent contractor role is fully remote and requires a proactive, tech-savvy individual with strong communication and multitasking skills. Prior experience in logistics, freight, or transportation is highly preferred. You will serve as a key partner to the ceo, helping to manage time, streamline operations, and maintain high-level communication with internal teams and external stakeholders.
*key responsibilities*:
- *calendar & scheduling*: manage and coordinate meetings, calls, and travel for the ceo—often with brokers, carriers, and clients—across multiple time zones.
- *communication*: serve as a gatekeeper and liaison, handling communications with internal staff, carriers, clients, and vendors on behalf of the ceo.
- *industry research & reporting*: compile logistics data, freight reports, carrier profiles, or market trends to support strategic decision-making.
- *admin support*: maintain accurate records in crm tools, process carrier documents, and assist with onboarding or compliance documentation.
- *meeting preparation*: organize agendas, prepare logistics-specific meeting materials, take notes, and follow up on action items.
- *project support*: track key initiatives, operational improvements, or client onboarding processes led by the ceo.
- *document management*: manage contracts, rate confirmations, invoices, and other logistics-related documentation efficiently and securely.
- *process development*: developing sops (standard operating procedures) for common tasks in sales, operations, and administrative workflows.
*qualifications*:
- *experience*: 3+ years supporting c-suite or executive-level leadership; preference given to those with experience in logistics, freight brokerage, or transportation.
- *tech proficiency*: comfortable with platforms like google workspace and document management tools.
- *professional communication*: strong writing and interpersonal skills with the ability to represent the ceo confidently and diplomatically.
- *self-directed*: proven ability to work independently, prioritize, and manage time effectively in a fast-paced, deadline-driven industry.
*preferred attributes*:
- experience with tms (transportation management systems) and/or edi platforms
- familiarity with freight terms, carrier/broker relationships, and transportation compliance requirements is a strong plus.
- flexibility to respond during peak logistics hours (early morning or late afternoon check-ins)
