this is a remote position.
the sales coordinator at pipeline medical is the operational backbone of the sales organization. This role serves as the primary support system for the sales team and the main point of communication for customers and internal stakeholders regarding quotes, pricing, order support, and product inquiries.
using pipeline medical’s proprietary med tech platform and crm tools, the sales coordinator drives operational accuracy, improves turnaround times, and supports a seamless experience for customers and sales reps alike. The sales coordinator ensures sales processes move quickly and accurately, supports account activities end-to-end, and maintains high‑quality data in zoho and related systems.
responsibilities
* act as the central support resource for the national sales team, enabling reps to focus on selling by owning administrative duties, coordination tasks, and following up to ensure timely delivery of required information and deliverables.
* serve as the main internal and external contact for pulling and preparing quotes, confirming pricing and contract alignment, answering product availability/specification inquiries, and routing technical or clinical questions to the right internal expert.
* coordinate closely with sales, operations, finance, and customer service to ensure smooth execution of sales activity.
* partner with operations to ensure physicians are promptly onboarded and progressing through the sales process, including gathering required documentation, aligning timelines, and removing workflow blockers.
quotes, pricing & product inquiry ownership
* build and deliver accurate customer quotes in a fast‑paced environment, ensuring alignment with pricing guidelines, customer terms, and margin targets.
* maintain up-to-date pricing files and assist with pricing updates and approvals.
* respond promptly to product inquiries, including lead times, substitutions, compatibility, specifications, and documentation needs.
* maintain accurate account, contact, opportunity, and quote records in zoho crm.
* track and update pipeline activity, ensuring clean data for forecasting and performance reporting.
* create and distribute routine and ad‑hoc sales reports (pipeline, quote volume, win/loss, service metrics).
* support process improvements by identifying recurring issues and proposing solutions.
customer communication, ticketing & order support
* connect with customers to provide updates on ticket status and next steps, ensuring visibility into where they are in the process.
* proactively communicate order/quote status, shipment tracking, back orders, and required documentation.
* manage delays or product substitution requirements by coordinating internally and confirming customer approval quickly.
* help resolve customer concerns related to pricing discrepancies, availability, documentation, delivery questions, and returns.
market / regulatory awareness
* stay up to date on fda outages, recalls, or regulatory disruptions that impact product availability.
* track and communicate annual product challenges or supply constraints to sales and operations, helping set expectations with customers and supporting contingency planning.
requirements
* medical/healthcare background: minimum 3 years of experience in a medical, healthcare, med‑device, or clinical/diagnostic environment (sales support, customer service, clinical admin, distribution, or similar).
* sales support experience: 2-4+ years in sales coordination, account support, inside sales support, or similar.
* crm proficiency: hands‑on experience with zoho crm strongly preferred (or comparable crm with ability to ramp quickly).
* excel skills (required): strong working knowledge of excel, including pivot tables, vlookup/xlookup, filtering, basic formulas, and data cleanup; comfort producing repeatable reports and manipulating sales/pricing datasets.
* communication: clear, professional, and responsive communicator (email/phone), able to interface with both clinical and business stakeholders.
* detail & speed: high accuracy in quotes and pricing, strong follow‑through, and the ability to prioritize multiple urgent requests.
* collaboration: team‑first mindset with the ability to coordinate across departments and support multiple stakeholders.
