We are looking for a highly organized and proactive administrative & facilities coordinator to support the day-to-day operations of the office and ensure a smooth, efficient, and safe working environment.
this role will be responsible for managing office administration, facilities, vendor relationships, and corporate services, playing a key role in maintaining operational excellence.
key responsibilities
* office & facilities management
o oversee daily office operations and ensure proper functioning of facilities
o coordinate maintenance, repairs, and office improvements
o support office setup, relocations, and workspace optimization
* vendor management
o manage relationships with external vendors (cleaning, security, maintenance, etc.)
o ensure service quality, compliance, and cost control
o handle contracts, renewals, and service evaluations
* travel coordination
o arrange domestic and international travel (flights, hotels, itineraries)
o manage travel policies and expense coordination
* administrative support
o support procurement processes and office supplies management
o assist with budget tracking related to administrative expenses
o maintain records, documentation, and internal controls
qualifications
* bachelor’s degree in administration, business, or related field
* 2–5 years of experience in administrative, facilities, or office management roles
* experience managing vendors and office operations
* strong organizational and problem-solving skills
* ability to handle multiple tasks and prioritize effectively
language requirements:
* english: intermediate to advanced
* mandarin chinese: basic to intermediate (is a plus)
nice to have
* experience in multinational environments
* experience setting up or scaling office operations
* knowledge of procurement or budgeting processes
* experience in chinese and or automotive companies
