position summary
the marketing & pursuit coordinator plays a key role in supporting marketing and pursuit efforts across the firm. This position is responsible for coordinating proposals, qualifications packages, interview materials, market research, and crm data management to help position invision for success. The ideal candidate is highly organized, detail‑oriented, an excellent writer and communicator, and thrives in a fast‑paced environment with multiple deadlines.
position responsibilities
pursuit & proposal support
* coordinate the development, production, and delivery of qualifications packages, proposals, and interview materials.
* gather and organize project information, resumes, references, and supporting content for pursuits.
* track rfq/rfp opportunities, schedules, deadlines, and submission requirements.
* assist with market, client, and competitor research to support strategic pursuits.
* record and distribute notes from pre‑submittal meetings, industry events, and public meetings.
* support pursuit planning activities and client outreach efforts led by firm leadership.
marketing information & crm management
* maintain accurate and up‑to‑date marketing information including project descriptions, staff biographies, project statistics, and firm qualifications.
* support the maintenance and organization of client, contact, project, and opportunity information within unanet crm.
* maintain systems for organizing and retrieving marketing content, project information, visuals, and pursuit materials.
* assist with reporting and data quality initiatives to support business development and marketing efforts.
marketing & presentation support
* prepare written and visual materials for client presentations and interviews.
* assist with the development and maintenance of project sheets, resumes, templates, and marketing collateral.
* support photography organization and digital asset management activities.
* assist with client events, conferences, and other marketing initiatives as needed.
* embrace and implement invision brand standards across all marketing materials.
qualifications
* bachelor’s degree in marketing, communications, journalism, english, business, or a related field preferred.
* two to five years of experience in marketing, communications, business development, professional services, or a related field.
* a/e/c industry experience preferred but not required.
* strong writing, editing, proofreading, and communication skills.
* exceptional organizational skills and attention to detail.
* ability to manage multiple deadlines and priorities simultaneously.
* proficiency in microsoft office and adobe indesign required.
* experience with crm platforms, databases, or information management systems preferred.
* experience with unanet crm and openasset is a plus.
* self‑motivated with a desire to learn and grow within a collaborative team environment.
