role summary
the it project assistant provides administrative and coordination support to the it manager and it team. This role helps organize project-related tasks, maintain documentation, schedule meetings, and track basic progress updates. The position is focused on assisting and supporting project activities rather than leading or managing projects.
main responsibilities
* provide administrative support for it projects.
* help organize project timelines, task lists, documentation, budgets, schedules and progress.
* update tracking sheets and maintain project files.
* schedule meetings, send calendar invitations, prepare agendas, presentations and take minutes when required.
* follow up on assigned action items and send reminders.
* support communication between it staff and other departments as instructed by the it manager.
* assist with organizing vendor information, quotes, and basic documentation.
* prepare simple status summaries when requested and identify potential delays.
required qualifications
* bachelor’s degree (completed or in progress) in administration, it, engineering, or related field.
* strong organizational skills and attention to detail.
* proficiency in microsoft office or google workspace.
* ability to follow instructions and manage multiple tasks.
* good communication skills in english and spanish.
preferred qualifications
* previous experience in an administrative or assistant role.
* basic familiarity with software/tools (e.g., trello, microsoft project, basecamp).
* experience working in an educational environment is a plus.
