Summary/objective
the finance & administration coordinator (mexico) is a hands‑on, multi‑functional role responsible for supporting day‑to‑day finance, accounting, operational, and administrative activities for the mexico entity. This role serves as the primary liaison between local mexico operations and the north america regional finance team to support invoicing, bookkeeping, compliance coordination, operational administration, and financial reporting activities.
the position requires close interaction with internal teams, external customers, vendors, service providers, and mexican government agencies to ensure compliance, accuracy, responsiveness, and operational efficiency. The ideal candidate is detail‑oriented, proactive, highly organized, and comfortable working across finance, administration, and operational support functions within a multinational environment.
essential functions
finance operations & accounting support
* support day-to-day accounting activities including coordination of ap, ar, reconciliations, and financial transactions in alignment with the north america regional finance team
* issue customer invoices and support billing activities in compliance with mexican cfdi requirements
* contact customers via phone, email, and mail to inquire about on‑due payments; research and resolve payment discrepancies, short‑pays, or unapplied cash by working closely with customers and the sales team
* verify and validate all vendor invoices against sat requirements, ensuring correct cfdi formatting and rfc accuracy; communicate fluently with local and international vendors to resolve discrepancies in billing or missing tax documentation.
* support bookkeeping activities, journal entries, accruals, and month‑end close coordination
* maintain accurate financial and accounting records within erp systems (e.g., sap, navision)
* assist with monthly, quarterly, and annual financial reporting requests from canada hq
* support budgeting, forecasting, and variance analysis activities as required
* ensure proper documentation retention and audit readiness of financial transactions
* support expense tracking, vendor payments, and local finance administration activities
tax & government compliance
* coordinate with external accountants, payroll providers, auditors, and advisors to support compliance with mexican regulations
* support filings and coordination related to:
o sat (isr, vat, cfdi requirements)
o imss
o infonavit
o state taxes (isn)
* liaise with government authorities and external agencies as required
* coordinate and maintain compliance‑related documentation and records
* monitor local regulatory updates and elevate compliance concerns as appropriate
* support internal and external audit activities
accounts receivable, payable & customer interaction
* support customer invoicing, collections follow‑up, and aging reviews
* communicate with customers regarding billing inquiries, payment status, and account issues
* coordinate vendor invoices and payment processing activities
* resolve discrepancies with customers, vendors, and service providers
* support customer and vendor account setup and maintenance
operations & administrative support
* support daily office administration and operational coordination activities
* coordinate with warehouse, sales, hr, and operations teams to support business activities
* assist with procurement coordination, office supplies, travel coordination, and vendor management
* maintain organized records and filing systems for finance, legal, and administrative documentation
* support internal controls, process improvements, and administrative procedures
* assist local management and regional teams with ad hoc operational matters and special projects
cross‑border coordination & reporting
* act as the primary local finance and administration liaison between mexico operations and canada hq
* ensure alignment with north american finance policies, procedures, and reporting requirements
* collaborate with finance, hr, operations, and external stakeholders across regions
* support reporting requests, audits, and operational initiatives from regional leadership
* other duties as assigned
travel
* occasional international trips (up to 10%)
qualifications & requirements
* bachelor’s degree in accounting, finance, business administration, or related field preferred
* 3–6+ years of finance, accounting, administration, or operational support experience in mexico
* experience supporting multinational companies or reporting to foreign hq environments preferred
* familiarity with mexican tax, payroll, and invoicing requirements including sat, imss, infonavit, isn, and cfdi regulations
* experience with erp systems such as sap, navision, or similar platforms preferred
* strong microsoft excel and microsoft office skills
* understanding of internal controls, documentation, and compliance processes
* ability to manage multiple priorities in a fast‑paced operational environment
