Onboarding specialist (back office)

onboarding specialist back office (similar to a customer service role)

join us as an onboarding especialist!


responsibilities

* client assessment and follow up
* conduct initial interviews to understand the clients' needs and circumstances
* seek potential clients through various channels to initiate consultations with the firm
* ensure all client information is accurately entered into the firm's case management system
* convince the potential clients to start the process with the firm
* coordinate with attorneys, paralegals, and other legal staff to ensure that each new client is properly assigned and their case is handled efficiently from the outset


qualifications

* preferred: bachelor's degree in communications, business, legal studies, or a related field
* experience: 2+ years of experience in a client-facing role, sales, customer service


benefits

schedule 11:00 am - 8:30 pm cst monday to friday (1 hour lunch + 2 breaks)

salary 16,000 mxn brutos + bonos.

job scope

this position requires team member to perform duties with minimal supervision while operating from the established direction and instruction of the customer service manager, director of customer service, vp of customer service, and agency manual.


primary responsibilities

* assist account managers and renewal managers of reliance partners in daily office functions related to maintenance and processing of customer accounts
* manage day-to-day activities related to customer insurance accounts
* process daily policy changes and make updates to the system specifically for agency and direct bill endorsement processing
* proofs – additional insured, loss payee, standard certificates, and auto id cards
* endorsement process (activity flow, qualification, add/delete, follow ups)
* maintain records of communication pertaining to client's account through the agency management system (ams) using correct service team acronyms and description templates as they apply
* work with account onboarding team to process all new and renewed tasks and activities for client accounts
* assist other service team members as needed with account related workflow items
* follow company designated protocols for the customer service team including processing of changes, certificates, and other client service-related tasks
* processing of customer accounts and activity dashboard management
* maintain compliance with external and internal policies

scheduler

scheduler is responsible for maintaining strong relationships between clients and caregivers while supporting the delivery of a "best in home care" experience.


key responsibilities

* answer incoming calls and respond to inquiries or messages in an upbeat and professional manner
* communicate consistently with caregivers and clients to evaluate and support service delivery
* serve as a liaison between caregivers and the office manager
* respond promptly, courteously, and professionally to all client calls
* receive and process referrals and inquiries regarding company programs and services
* assist with sales, marketing, and public relations efforts as needed
* adjust priorities in response to scheduling changes and business needs
* maintain integrity and professionalism in every interaction with caregivers and clients
* demonstrate the ability to live and promote company vision, mission, and core values
* resolve problems and make sound decisions in a fast‑paced environment
* schedule and coordinate day-to-day caregiver assignments
* maintain accurate caregiver work records in clearcare
* ensure personnel files and documentation are current and complete
* perform on-call coordinator duties as required
* maintain professionalism under pressure and during high-volume periods
* interview, screen, and test applicants while providing a positive candidate experience
* assist with recruiting, hiring, orientations, training, disciplinary actions, and in-service activities
* work collaboratively as a team player within the office
* support telephony system monitoring, timecard processing, and payroll-related tasks as needed
* perform additional duties as assigned by the operations manager


qualifications & skills

* high school diploma or equivalent required
* minimum of two (2) years of business or office experience
* basic office, computer, and organizational skills
* excellent interpersonal and telephone communication skills
* knowledge of common medical terminology preferred
* ability to work independently and exercise sound judgment
* ability to read, write, speak, and understand english as required for the role
* flexibility to be available for on-call duty outside normal office hours


compensation

$1,060 - $1,062 a month
