Role summary
the hr coordinator serves as the central point of contact for the employee lifecycle, supporting recruitment coordination, onboarding, record maintenance, and compliance efforts in a fast-growing biotech environment. By ensuring accurate documentation, seamless coordination of hr processes, and responsive support to employees and managers, this role strengthens people operations and fosters a positive, inclusive workplace culture to enable mission-driven growth as the company advances its pipeline.
responsibilities
* serve as the primary point of contact for routine hr inquiries, including holiday calendars, employment verification requests, org charts, policy guidance, benefits navigation, and general hr process support
* coordinate interview scheduling, candidate communications, reference checks, background checks, and pre-employment requirements in collaboration with recruiters and hiring managers
* assist with new hire onboarding and orientation activities, ensuring timely and accurate completion of documentation (e.g., i-9, e-verify, compliance forms, offer letters, and system setups)
* maintain and audit employee personnel files (digital and physical) to ensure accuracy, confidentiality, completeness, and compliance with company policies and regulations
* support hris updates, payroll-related inputs (e.g., pto tracking, corrections, bonus spreadsheets), and processing of employee status changes (e.g., promotions, transfers, terminations)
* prepare hr documents, employee communications, reports, meeting materials, tracking logs, and other administrative support as needed
* assist with benefits administration tasks, including open enrollment preparation, form tracking, and addressing routine employee benefit questions
* support performance review and training cycles by tracking deadlines, preparing materials, coordinating sessions, and maintaining related records
* help maintain compliance with employment regulations, including labor law postings, mandatory training records, eeo data collection/reporting, and policy updates (with emphasis on california-specific requirements)
* coordinate hr meetings, employee events, culture-building initiatives, and company-wide communications to enhance engagement and morale
* perform other hr duties and special projects as assigned from time to time
qualifications
* required: 1–3 years of hr support experience (e.g., hr coordinator, hr assistant, or similar role) in a professional environment; biotech, pharmaceutical, or life sciences industry experience a plus
* preferred: bachelor’s degree in human resources, business administration, or a related field
* required: strong organizational skills, meticulous attention to detail, and proven ability to manage multiple priorities and deadlines in a dynamic, fast-paced setting
* required: excellent verbal and written communication skills with a customer-service oriented mindset and professionalism in all interactions
* required: high level of integrity with the ability to maintain strict confidentiality and handle sensitive information with discretion
* preferred: familiarity with hris (e.g., adp, workday) and ats systems
* preferred: basic knowledge of employment regulations and best practices; experience with california hr compliance (e.g., wage/hour laws, paid sick leave)
* required: proficiency with microsoft office suite (word, excel, powerpoint, outlook) for document preparation, data tracking, and reporting
* required: ability to handle occasional extended hours depending on departmental needs (e.g., during peak hiring, open enrollment, or events)
