about the role:
we are seeking an administrative support specialist to provide crucial administrative assistance to our mexico office. In this role, you will be responsible for coordinating various administrative tasks, including lease management and procurement activities, to ensure smooth office operations. You will be an integral part of the team, supporting day-to-day operations and providing a high level of service to internal teams.
key responsibilities:
- administrative support: provide general administrative assistance to the mexico office, including managing schedules, handling communications, and organizing office activities. - lease coordination: coordinate and manage lease agreements, ensuring that all documentation and processes are up to date and compliant with legal requirements. - procurement: assist with procurement activities, including managing vendor relationships, processing purchase orders, and ensuring timely delivery of office supplies and services. - vendor management: work with external service providers to maintain and track contracts, ensuring that services are provided according to company standards and expectations. - office organization: help maintain the office’s organization, ensuring that all materials and supplies are stocked and readily available. - communication: act as a liaison between the mexico office and various internal departments or external vendors, ensuring smooth communication in both english, spanish, and chinese. - document management: prepare and organize documentation, ensuring accuracy and timely filing of important records, contracts, and correspondence. - event coordination: support the coordination of company events, meetings, and travel arrangements when needed.
qualifications:
- experience: proven administrative experience, with a strong understanding of office management, procurement, and lease coordination. - language proficiency: proficiency in chinese, english, and spanish (both written and spoken) is preferred to facilitate communication across our global teams. - organizational skills: strong attention to detail and organizational skills to effectively manage multiple tasks and responsibilities. - problem-solving skills: ability to manage tasks independently and handle challenges efficiently, with a focus on continuous improvement. - team-oriented: ability to work collaboratively with various teams and stakeholders to support office operations.
