Seeking a proactive administrative & accounting assistant with advanced english skills (c1) and proven experience in quickbooks. The ideal candidate will bridge the gap between general administration and financial operations, ensuring accurate record-keeping, efficient supplier management, and seamless bilingual communication.
key responsibilities
* financial support & quickbooks management: process invoices, record bills, and monitor accounts payable/receivable directly in quickbooks. Assist in bank reconciliations and ensure all transactions are properly categorized.
* purchasing & logistics: source products, negotiate terms with suppliers, and manage freight costs to optimize the budget.
* data management: maintain accurate digital and physical archives, ensuring that all financial data in quickbooks matches supporting documentation.
* reporting: generate and present detailed weekly and monthly reports (profit & loss, cash flow, and expense reports) using quickbooks and excel.
* bilingual communication: act as the primary point of contact for english and spanish‑speaking clients and suppliers regarding billing, payments, and general inquiries.
* record‑keeping: maintain updated employee files and ensure compliance with internal administrative policies.
* client & colleague service: provide high-quality internal and external support, fostering professional relationships.
candidate requirements
* education: bachelor’s degree in accounting, finance, administration, or international business.
* experience: 3–5 years in administrative‑accounting roles with hands‑on experience using quickbooks (desktop or online version).
* language: c1 english proficiency (essential for technical communication and negotiation).
* technical skills: advanced quickbooks user, proficient in microsoft office (strong excel skills for pivot tables and data analysis).
