as the maintenance coordinator, you’ll oversee all incoming work orders from start to finish. You’ll coordinate with vendors, communicate with residents, and track every task to ensure timely completion. Your work will directly support property value, resident satisfaction, and operational efficiency.
the ideal candidate has experience in property management or maintenance coordination, thrives in a fast-paced environment, and excels at balancing vendor relationships, resident communication, and administrative tasks. responsibilities
* provide professional and timely communication to ensure a positive resident experience.
* triage and respond to all incoming maintenance requests within 2 hours.
* qualify work orders by asking the right questions and troubleshooting issues.
* dispatch work orders to vendors within 24 hours (urgent requests within 4 hours).
* track and update all work orders daily, ensuring:
* • habitability issues resolved within 24 hours.
* • non-emergency issues resolved within 72 hours.
* • 100% of work orders include a daily update, note, or action.
* monitor vendor performance and enforce response time standards.
* follow up daily with vendors to confirm scheduling and progress.
* manage vendor relationships: source new vendors, negotiate pricing, and ensure quality service.
* oversee property turns:
* • turns 1 month’s rent completed in 15 business days.
* ensure statement of deposit accounting (soda) is completed within 21 days.
* review invoices for accuracy and ensure they match estimates.
* schedule and coordinate semi-annual property surveys.
* support property managers and owners with additional duties as needed.

* positive, professional, and proactive attitude with a strong sense of accountability.
* excellent troubleshooting and problem-solving skills, including the ability to guide residents or vendors over the phone.
* strong customer service and negotiation abilities.
* exceptional organizational skills with the ability to manage multiple priorities and strict timelines.
* experience managing vendors, including dispatch, follow-ups, and invoice review.
* high attention to detail with proven success in administrative tasks and record-keeping.
* prior experience in property management, repair work, or maintenance coordination preferred.
