role overviewabout the client: the client is a dedicated drafting firm based in lake county, florida (an hour north of orlando), specializing in creating plans for permitting to support local contractors and engineers. As a small, rapidly growing business in a local, small-town u.s. market, the founder is seeking to delegate daily operations and client communications to eliminate bottlenecks and significantly improve project turnaround times.about the role:we are seeking a full-time project management & support specialist to serve as the founder's strategic partner and operational backbone. This is a crucial role for a highly proactive, detail-oriented professional who can confidently manage communication with a u.s. small-town clientele. The primary goal is to take full ownership of project administration, client updates, and workflow management, freeing the founder to focus on strategic growth and core drafting work.key responsibilities1. Client communication & front-line support (primary focus)phone management: serve as the primary point of contact, answering all incoming business calls and managing communications (phone, text, email).customer updates: confidently provide project updates and status reports to customers, effectively filtering information and relaying only essential details to the founder.proactive follow-up: execute consistent follow-up with customers regarding project stages and missing information.professional tone: maintain a friendly, clear, and professional communication style aligned with u.s. small-town cultural norms.2. Project management & workflow execution mastery: organize and optimize all project management tasks, deadlines, and project phases within the platform.deadline management: proactively monitor and track all project deadlines and deliverables, serving as the accountability partner for the founder's tasks.proposal support: assist the founder by streamlining the process of getting proposals done and organizing necessary paperwork.3. Administrative & operational supportinbox triage: manage and organize the founder's email inbox, handling routine correspondence and prioritizing tasks.clerical work: handle general administrative tasks, scheduling, document organization, and other clerical duties as required.system ownership: take ownership of establishing and maintaining efficient organizational systems (including the voip phone system and email).qualifications & skillsaccent/fluency (mandatory): fluent english with a minimal accent is required due to the small-town u.s. clientele.language (bonus): bilingual fluency in spanish is a significant plus.project management: proven experience managing projects, tasks, and deadlines, ideally using industry experience (preferred): background or familiarity with the construction, engineering, or drafting industry is highly desirable.imperial measurement understanding (critical)work ethic: must be a proactive, autonomous, and detail-oriented "partner" who anticipates needs and drives results, rather than passively awaiting direction (not just a task follower).technology: proficiency with email organization, calendar management, and quick learning ability for new systems (including the transition to a voip platform).ai knowledge would be beneficial
