Job requirements
responsibilities
* receive and process customer orders and inquiries related to items or products.
* serve as the communication link between customers and the commercial team to ensure responsiveness.
* ensure correct entry of orders and provide customers with acknowledgment and realistic delivery dates.
* provide standard pricing, quotations, product availability, and scheduling information within established guidelines.
* manage inventory and schedule customer pickups.
* invoice orders using sap and process export and tax documents.
* handle accounts receivable cycle, including collections and payments.
* coordinate office tasks such as paying utilities and purchasing supplies.
* ensure timely submission of monthly close items to the accounting firm and review vat and payroll filings for payment.
* assist with annual compliance matters and maintain supplier contact information.
* track order activity and alert stakeholders of potential delivery issues.
* partner with logistics to expedite order deliveries.
* maintain high customer service standards, reflected by low complaint levels.
* collaborate with production control, purchasing, and shipping to meet customer needs.
qualifications and experience
* fluency in english and spanish, both written and verbal, is required.
* associate's or bachelor's degree in a relevant field (e.g., accounting, business).
* 2-5 years of relevant office experience required; manufacturing experience preferred.
* knowledge of us and mexico trade compliance, including import/export regulations, itar, usmca, and tariff rules, is preferred.
* proficiency in microsoft word and excel is required; sap knowledge is a plus.
* excellent communication skills and strong attention to detail are essential.
* ability to handle multiple priorities and adapt to change effectively.
* willingness to take on additional tasks and work collaboratively.
