responsibilities
the opportunity
the principal goal of the executive administrative assistant is to offer invaluable support to key executives spanning levels lg2 to lg3 within the organization. This pivotal role is crucial in guaranteeing the seamless functioning of daily operations, encompassing travel & logistics management, reimbursement activities, amex support, meetings & visits, local administrative activities, and other indispensable administrative functions. The position demands adaptability to the dynamic work environment and readiness to tackle diverse tasks, ensuring a smooth transition and minimizing disruptions to existing operations. By doing so, the executive admin assistant contributes significantly to fostering a positive and collaborative team culture within the organization.
your impact
as exec admin assistant your responsibilities would consist of
travel & logistics
* coordinate and book domestic and international travel for executives, including itineraries, flights, hotels, and transportation.
* collect and organize receipts and documentation related to travel expenses.
* prepare and submit expense reports on behalf of executives, ensuring compliance with company policies.
* provide executives with comprehensive information about their travel destinations.
* coordinate meeting venues for business events and conferences.
* travel & expense reports and submissions
* become familiar with pepsico's travel policy
* facilitate visa processing and passport-related matters.
reimbursement
* check amex charges versus sap concur
* preparation of requisitions
* collect and organize expense receipts, ensuring they align with company policies.
* open and manage tickets for reimbursement requests, ensuring prompt closure.
* communicate with executives to clarify or obtain additional information regarding expense reports.
* request receipts for expense invoices and track them.
* review receipts and invoice tickets sent by the executive.
* provide guidance and support to executives on the proper procedures for submitting reimbursement requests.
meetings & visits
* schedule and organize meetings for executives, considering time zones and preferences.
* coordinate visits from clients, partners, and other stakeholders.
* arrange logistics for visitors, including accommodations, transportation, and meeting spaces.
* maintain and update executives' calendars to reflect meetings, appointments, and events.
* assist in planning and organizing corporate events, conferences, and off-site meetings.
* act as a liaison between executives and internal/external stakeholders to confirm meeting details and ensure smooth communication.

* facilitate the issuance of american express corporate cards for executives.
* reconcile amex statements with expense reports and ensure accurate documentation.
* keep track of amex card expiration dates and initiate the renewal process as needed.
* follow-up on credit card requests, card reposition, card cancelation, card statement, card line.
* check amex charges versus sap concur
local admin
* monitor and replenish office supplies, ensuring that essential items are always available.
* engage with local vendors for services such as cleaning, catering, and office equipment maintenance.
* manage incoming and outgoing mail and packages, distributing them to the appropriate recipients.
* ensure compliance with local regulations and handle any administrative requirements as needed.
qualifications
who are we looking for?
* bachelor’s degree in human resources, industrial engineering, business administration, or related field.
* 1-2 years of previous professional experience in hr operations (or 1 year in personal/executive assistance environment is preferred) and/or related education.
* demonstrated ability to use initiative, work proactively, and adapt quickly to a constantly changing environment.
