POSITION NAME
Administrative Assistant – Logistics and Invoicing
EDUCATION
Bachelor's degree in Commerce, Engineering, or a related field.
TECHNICAL SKILLS
- Intermediate proficiency in Microsoft Office (Excel: pivot tables, formulas, databases).
- Intermediate knowledge of SAP (invoicing and purchase order modules).
- Advanced English (spoken and written).
Minimum 6 months of experience in:
- Administrative assistance
- Purchasing assistance
- Production control
PRINCIPAL ACTIVITIES
- Receive and validate customer purchase orders.
- Monitor deliveries and transportation times.
- Create and send invoices to clients.
- Receive and register supplier invoices, validating them against purchase orders.
- Integrate invoices into the system and follow up on payments.
- Support month-end closing tasks, reconciliations, and financial reporting.
- Adjust delivery routes and schedules according to demand changes.
- Negotiate with customers in case of logistics or inventory incidents.
- Escalate issues and coordinate solutions with other departments.
