We are hiring a decisive operations manager to be exclusively dedicated to our rapidly scaling u.s.-based accounting and tax planning client. This is a critical leadership role built for an autonomous, forward-thinker not a coordinator who reports data, but an owner who identifies risks and proposes clear solutions.
your core mission is to secure the firm's operational delivery, ensuring every client job is completed on time and with full accountability. The owner needs to offload the details of execution to focus solely on high-level strategy and growth.
key responsibilities: owning end-to-end delivery
once a client is onboarded, you own the process. Your success is defined by keeping our system clean and ensuring nothing falls through the cracks.
process ownership: master and own all post-onboarding operations within our practice management system (karbon/carbon). Maintain job accuracy, update statuses, and keep workflows moving proactively.
risk management & analysis: detect task slippage, client bottlenecks, or missing documentation early. Your primary value is to interpret the data, identify the specific risks, and propose fixed solutions before issues escalate to the owner.
client communication: lead confident and professional email/phone outreach for missing client documents and overdue items. Manage and escalate accounts receivable (a/r) once aging hits specific thresholds.
executive reporting: maintain a clean, concise dashboard (google sheets/excel) as the single source of truth for wip, deadlines, and risk level.
leadership recommendations: deliver a concise daily signal with priorities and risk alerts. Provide a weekly executive summary with clear recommendations on key decisions needed from leadership.
continuous improvement: proactively recommend and implement process fixes (automation, template updates, flow changes) weekly to improve team efficiency and client experience.

required skills & mindset must-haves:
* 3+ years in an operations, project management, or client delivery role (accounting, consulting, bpo, or service-based environment).
* exceptional english communication (c1+ fluency) with a confident, professional phone presence for client follow-up.
* strong analytical excel/sheets skills (pivot tables, vlookups) with a demonstrated ability to turn data into clear, written, actionable recommendations.
* strong ownership mindset: highly organized, proactive, and capable of independent, autonomous decision-making.
nice-to-haves:
* previous experience in an accounting or tax firm operations is a strong plus.
* familiarity with karbon/carbon or equivalent task management tools (asana, clickup, monday).
* experience managing client-facing portals, document collection, and receivables.
* experience in a rapidly scaling remote environment.

location: remote – [colombia / mexico / argentina] residents only
hours: full-time (40 hours/week expected) with full overlap with us eastern time (est).
