about the role
we are seeking a dynamic and proactive chief of staff to support the founder in managing the operations of multiple businesses. This individual will serve as the "right hand" of the founder, handling a wide range of tasks, from optimizing internal processes to managing day-to-day operations. The ideal candidate is someone who thrives in a fast-paced, ever-evolving environment, with the ability to anticipate needs, manage multiple projects, and lead initiatives without requiring constant oversight.
key responsibilities
* operations management: oversee the day-to-day operations of various businesses, ensuring smooth execution of tasks and coordination across departments.
* process optimization: develop and implement standard operating procedures (sops) and continuously improve workflows.
* team coordination: work closely with internal teams and external stakeholders to ensure operations run smoothly.
* task ownership: take ownership of key operational tasks, including managing calendars, coordinating communications, and overseeing project timelines.
* project management: lead and manage cross-functional projects, ensuring deadlines are met and quality standards are upheld.
* technology & ai integration: utilize ai tools and technology to streamline operations and improve task efficiency.
* crisis management: respond to urgent business needs and guest requests.
* marketing & social media: support marketing efforts, including social media posting and content planning.
requirements
* experience: 3+ years in operations management, executive support, or business operations roles.
* experience working in fast-paced, dynamic environments (startups or growing companies).
* proven track record of creating and implementing sops, process optimization, and cross-functional coordination.
technical skills
* proficiency in excel (advanced functions like pivot tables, vlookups, etc.).
* familiarity with crm systems (e.g., monday.com, notion).
* experience with ai tools (chatgpt, etc.) is a plus.
* knowledge of hospitality software (e.g., guesty, breezeway) or real estate tech is a plus.
industry experience
* background in hospitality, real estate, or technology.
* experience in startups, particularly those with a focus on operations and process management.
software/tools
* experience with saas platforms, erp systems, and marketing tools.
* familiarity with cloud-based tools and automation software.
working hours
from monday to friday, 8 am to 5 pm cst or pst.
