about the role
we are seeking a highly skilled executive assistant to provide comprehensive support to the general director of a company with international operations. This position plays a critical role in ensuring efficient time management, strategic communication, and seamless execution of key initiatives. key responsibilities
* manage the general director's calendar, balancing national and international commitments, anticipating needs, and prioritizing strategic matters.
* coordinate executive meetings, board sessions, and strategic gatherings, including logistics, invitations, materials, minutes, and follow-up.
* organize domestic and international travel arrangements (flights, lodging, itineraries, expenses, documentation, and protocols) for the general director and senior executives.
* prepare executive-level reports, presentations, and documents in both spanish and english.
* track and follow up on strategic agreements, priority projects, and confidential matters.
* serve as a liaison between the general director and internal/external stakeholders.
* manage executive communications (emails, calls, visits), ensuring critical issues are prioritized with absolute confidentiality.
* support corporate, institutional, and family events as required.
* handle gift purchases for clients, employees and family occasions.
* safeguard sensitive and strategic information with strict confidentiality.
* identify opportunities to improve administrative and executive processes.
required qualifications
* bachelor's degree in administration, business, international relations, communication, law, or a related field.
* 4–6 years of proven experience as an executive assistant to senior management, preferably in family-owned businesses or complex corporate environments.
* advanced english proficiency (mandatory).
* availability for flexible schedules and travel as needed.
* experience in companies with family structures and international expansion is highly desirable.
