Overview

we are seeking a highly organized and proactive maintenance & dispatch coordinator to join our team. In this role, you will oversee maintenance scheduling, dispatch activities, and ensure seamless coordination between technicians, clients, and internal teams. Your focus will be on optimizing operations, reducing downtime, and delivering excellent customer service.


responsibilities

* receive and process maintenance requests from tenants, staff, or property managers.
* follow up on payments with tenants for leases, communicate lease renewals with tenants.
* calling prospects to schedule appointments, calling vendors, homeowners handling all admin related tasks.
* organizing files, prioritize and assign work orders to internal technicians or external vendors.
* schedule and dispatch maintenance personnel in a timely and efficient manner.
* communicate clearly with tenants regarding maintenance updates, scheduling, and follow-ups.
* maintain accurate records of work orders, service completions, and associated costs using property management software (e.g., innago).
* track recurring maintenance issues and coordinate preventative maintenance schedules.
* assist in sourcing and coordinating third-party vendors for specialized repairs.
* respond promptly to emergency maintenance situations and coordinate after-hours support as needed.
* ensure compliance with local codes and safety regulations.
* provide regular reports to management regarding maintenance trends and service quality.
* calling & following up with clients for leasing, agreement purpose etc any other admin tasks as assigned.
* communicate with tenants for general inquiries.


qualifications

* 2+ years of experience in property management, maintenance coordination, or dispatch operations.
* familiarity with maintenance terminology and property systems (hvac, plumbing, electrical, etc.).
* experience using work order and property management software is preferred.
* excellent communication and organizational skills.
* ability to multitask and prioritize in a fast-paced environment.


preferred

* experience with residential or commercial properties.
* knowledge of local building codes and safety regulations.
* experience with innago software is good to have.


schedule & requirements

schedule: part time: tuesday - saturday 10:00 am - 2:00 pm est.

educación mínima: educación media superior - bachillerato general
