the position requires a proactive mindset, exceptional organizational skills, and the ability to embody and promote genesys core values: embrace empathy, fly in formation, and go big.primary responsibilitiesexecutive assistant to sales vp and directorscalendar & schedule management: plan, prioritize, and manage calendars, ensuring alignment with internal and external stakeholders.travel coordination: organize travel plans, including flights, accommodations, itineraries, transfers, and last-minute changes.communication & correspondence: draft, edit, and manage professional communication, acting as a point of contact for inquiries.meeting preparation: prepare agendas, presentations, and materials for meetings, arrange in-person meetings and transfers.confidentiality: handle sensitive information with discretion and maintain a high level of professionalism.office administration (support focused on the sales team)bcd travel administrator and travel emergenciesprovide administrative support to the sales team, ensuring efficient and effective operations.coordinate meetings, presentations, and communications between the sales team and clients.event planning and budget management for sales teamquarterly business reviews (qbrs): plan and execute four qbrs annually, managing all logistics and budgets.sales events (~1 per week): organize cx day, cx workshop, and other events.define and implement standard processes for these events, including room reservations, merchandising and gift preparation, identifying participants, and coordinating coffee breaks.executive visits: create and implement a standard process for executive visits covering agenda, transportation, and reservations.hr, it, and facilities support: (applicable for méxico, nola, sola) hr support for onboarding, it support for device inventory and services, facilities support for office administration, supplies, snacks, beverages, cleaning, and security.finance and invoice management (mexico, sola, nola): collect invoices at the end of the month, manage amex corporate credit card administration, and oversee the purchasing process.general problem-solving and relationship management: act as liaison between executives and team members, proactively anticipate needs, troubleshoot administrative issues, and maintain smooth communication.corporate communication and coordination: serve as the primary point of contact for latam leadership and genesys corporate teams (facilities, events, dei, purchasing and others), engaging in high-level conversations to align regional standards with global strategies, streamline processes, and support global initiatives.expectations for role executionownership and empowermenttake full ownership of office administration, ensuring smooth daily operations without constant oversight.be empowered to make decisions regarding office supply purchases within pre-defined budget limits, vendor selection for routine office or event needs, and travel and event-related expenses within approved budgets.collaboration and communicationmaintain consistent and clear communication with latam leadership point of contact and u.s. corporate teams, ensuring alignment on initiatives and standards.proactively anticipate and resolve challenges related to global collaboration, such as time zone differences or varying regional requirements.strategic thinking and problem-solvingserve as a trusted advisor to sales leadership, offering solutions that improve efficiency and productivity.anticipate potential obstacles and develop strategies to overcome them before they impact operations.cultural leadershipact as a genesys values ambassador, modeling embrace empathy, fly in formation, and go big.promote a culture of inclusivity, collaboration, and open communication, ensuring team members feel supported and aligned with company goals.process improvement and documentationcreate standard operating procedures (sops) for recurring events (e.g., executive visits, cx events), ensuring consistency and scalability.regularly review and refine processes to improve efficiency and align with corporate standards.global alignment and high-level collaborationrepresent the latam region in high-level conversations with corporate stakeholders, ensuring regional needs are understood and incorporated into global strategies.stay informed about global initiatives, actively supporting their implementation at the regional level.key performance indicators (kpis) and metrics: measured by ability to meet deadlines, event success, stakeholder feedback, and smooth execution of administrative tasks.technology and tools proficiency: microsoft office required to manage daily administrative tasks effectively.time management and multitasking: strong skills to prioritize tasks effectively in a dynamic environment with competing demands.decision-making autonomy and accountability: autonomy for routine decisions;
