bachelor’s degree in administration, psychology, industrial relations, or a related field.

minimum of 2 years of experience as an executive or administrative assistant.

advanced proficiency in microsoft 365 applications, and erp systems (oracle).

knowledge of iatf 16949.

the main responsibilities of the executive assistant are focused on providing administrative support to management and staff at our plant located in the fipasi industrial park, within our manufacturing complex in silao, guanajuato, mexico.


key responsibilities include

* manage the site manager’s agenda.
* ensure timely delivery of reports requested by the site manager.
* handle important documents requiring signatures.
* schedule and coordinate meetings with staff, clients, and suppliers.
* properly manage office equipment, materials, and it resources.
* receive and distribute documents for authorization.
* enter purchase requisitions into the oracle system.
* control travel request forms (travel request): receipt, approval, and delivery to the requester.
* organize operations reviews (presentations, catering services, etc.).
* coordinate plant visits (lodging arrangements, transportation, meeting organization, and administrative matters).
* organize special events for staff (team-building events, year-end events, etc.).
* manage travel arrangements for the site manager (flight, hotel, and car rental reservations).
* prepare travel expense reports.
* maintain close communication with staff regarding the site manager’s requests and notifications, and vice versa.

* maintain and distribute the site manager’s files, report and documents, updating whenever necessary.
* manage meeting rooms.
* procure necessary items for the cafeteria, stationery, personal protective equipment, etc.
* properly manage the assigned budget for expenses.
* coordinate preventive and corrective maintenance for executive offices.
* support the design and implementation of strategies and activities aimed at achieving management objectives.
