about the role
the program support specialist will play a key role in maintaining accurate, consistent, and reliable information across event management systems (airtable, rainfocus, and web platforms). You'll be responsible for database management, spotting inconsistencies, and supporting smooth data flows for the team.
beyond data accuracy, you'll provide essential program support—tracking action items, taking structured meeting notes, preparing agendas, and ensuring the team stays aligned with deadlines.

key responsibilities
* maintain and update data across airtable, rainfocus, and the website, ensuring consistency and accuracy.
* conduct manual reviews to spot errors, duplications, or inconsistencies.
* support database clean-up and organization projects.
* build and update simple airtable tables, views, and dashboards.
* collaborate with cross-functional teams to gather and share information.
* provide clear updates to the team and escalate issues when needed.
* participate in conference calls, take detailed notes, and track follow-up actions.
* prepare agendas, consolidate information, and monitor key deadlines for deliverables.
requirements
what we're looking for
* bachelor's degree in business, communications, event management, international relations, information management, or a related field.
* complete fluency in english (written and verbal).
* proficiency in microsoft office, particularly excel (formulas, data management, basic reporting).
* familiarity with airtable, including bases, views, and interfaces.
* strong organizational and time-management skills with the ability to juggle multiple priorities.
* excellent communication and collaboration skills.
