¿what do we expect from you as a groups operations administrative agent for vacation express?
the group operations agent is responsible for managing all operational aspects of group bookings after contracting.
this role serves as the primary liaison between clients/travel agents, hotels, and suppliers, ensuring accurate execution, timely communication, and proper system updates throughout the lifecycle of each group booking.the ideal candidate is detail-oriented, customer-focused, and thrives in a fast-paced, deadline-driven environment.ultimately, should be able to contribute to high quality customer service and achieve department's goals.
¿what will your role be with the vacation express team?
key responsibilities
- serve as the primary point of contact for hotels, suppliers, and clients/travel agents, responding to inquiries and managing follow-ups via phone and email in accordance with vacation express service standards.
- process group booking changes and deviations, including name changes, rooming list updates, and other booking modifications.
- communicate all booking updates and changes promptly and accurately to hotels, airlines, and ground service providers.
- maintain accurate and complete booking records by updating all relevant internal systems.
- develop and maintain proficiency in vacation express systems, including softrip (reservations), salesforce (crm), and outlook; training will be provided.
- generate and distribute arrival notifications to suppliers and run required weekly operational reports.
- manage assigned group accounts and special programs as needed.
- maintain and update group contact lists to ensure accurate communication.
- ensure compliance with company policies, procedures, and operational standards.
- participate in hotel trainings and presentations to strengthen destination and product knowledge.
- support the billing team by assisting with deposits, final supplier payments, and commission accuracy.
- maintain operational integrity by identifying issues, following established processes, and communicating improvement opportunities when appropriate.
- safeguard company interests by maintaining strict confidentiality of all sensitive information.
- contribute to team success by supporting related projects, initiatives, and tasks as needed.
- perform additional duties as assigned.________________________________________required qualifications
- prior experience in the travel industry is required.
- working knowledge of microsoft office 365, with an emphasis on excel, outlook, and teams.
- strong verbal and written communication skills in english.
- excellent customer service skills with a professional and positive demeanor.
- self-motivated and able to work independently while managing multiple priorities.
- ability to perform effectively under pressure and meet strict deadlines.
- strong organizational, time management, and follow-up skills.
- ability to learn new systems, tools, and procedures quickly.________________________________________preferred skills & competencies
- use of salesforce is a plus.
- high level of energy, engagement, and initiative.
- strong attention to detail with excellent problem-solving and troubleshooting abilities.
- proven ability to multitask, prioritize, and close tasks efficiently.
