about the role:
cortez berlanga, a leading legal and consulting firm, is seeking a highly organized, proactive, and discreet
personal assistant (executive assistant)
to support the managing partner and executive leadership team. This position is critical to ensuring efficient operations, seamless communication, and effective coordination of high-level tasks within a dynamic, fast-paced environment.
key responsibilities:
* executive scheduling:
manage and prioritize complex calendars, coordinate meetings, and ensure timely reminders and follow-ups.
* travel coordination:
arrange travel logistics, including itineraries, accommodations, transportation, and last-minute changes.
* communication management:
draft, review, and proofread correspondence, reports, and presentations in english and spanish.
* client & partner coordination:
act as liaison with clients, notaries, accountants, vendors, and other professional contacts.
* project support:
track deliverables, prepare progress reports, and ensure key deadlines are met.
* confidential information management:
handle sensitive information with absolute discretion and professionalism.
* administrative support:
manage expense reports, reimbursements, supplier invoices, and maintain organized digital files.
* personal & executive errands:
handle occasional personal and professional matters for the executive (appointments, errands, reservations).
* reception backup:
provide front-desk assistance when needed, filtering calls and welcoming high-level visitors.
requirements:
* experience:
2–4 years as a personal assistant, executive assistant, or similar role (preferably in legal, consulting, or financial firms).
* languages:
advanced english (spoken and written).
* technical skills:
proficiency in microsoft 365 or google workspace (outlook/calendar, docs, sheets/excel, slides/powerpoint).
* core competencies:
excellent organization, prioritization, and multitasking skills.
* professional attributes:
high attention to detail, discretion, and ability to work independently.
* availability:
flexible schedule and readiness to handle occasional after-hours or urgent matters.
* valid driver's license
preferred.
desirable skills:
* experience with productivity or project management tools (asana, notion, trello).
* familiarity with crm systems or client databases.
* basic understanding of billing, reimbursements, and expense control.
* experience working with notary offices or corporate schedules.
