Overview
this administrative assistant role in global corporate affairs supports senior leaders and senior personal assistants to keep a complex, global function running smoothly. The position coordinates schedules, travel, financial processes, events and core team operations across several teams, helping to drive efficient ways of working and consistent execution. Working closely with cross‑functional partners, the role helps track functional metrics, supports carbon and reward points tracking, and encourages collaboration across geographies.
accountabilities
* administrative support: provide day‑to‑day administrative and clerical support to senior pas and leadership, including diary management support for h‑level and above, meeting coordination and follow‑up actions.
* expense reporting: prepare and process expense claims for clc hs in line with policy and timelines, ensuring completeness and compliance.
* travel management: coordinate travel and visa arrangements for clc hs, including flights, accommodation, transfers and itineraries aligned with policy.
* purchase orders & financial admin: raise purchase orders for team activities, support invoice processing and liaise with suppliers in line with procurement guidelines.
* meeting, project & event support: manage room bookings, create zoom/teams meetings and webinars, provide basic technical support and assist with logistics for internal and external events.
* metrics & tracking: support carbon‑tracking activities and catalyze points tracking for teams, maintaining accurate records and monthly updates.
* leave cover & team flex: provide annual leave and sickness cover for gca pas and collaborate with administrators and eas across calt teams as needed.
* operations support: help maintain distribution lists, org charts and other core operational processes.
* policies & procedures: understand and always adhere to the astrazeneca global code of conduct, including global policies and procedures.
essential skills / experience
* proven experience in administrative support within a complex, global or matrix environment.
* strong organisational skills with attention to detail and the ability to manage multiple priorities with urgency and accuracy.
* proficiency with microsoft 365 (outlook, teams, excel, powerpoint, sharepoint) and virtual collaboration tools (zoom/teams webinars).
* confidence managing purchase orders, expenses and basic financial processes in line with policy.
* clear, professional communication skills in english (written and verbal).
* dedicated to assisting others, discretion with confidential information, and ability to build strong working relationships across teams and geographies.
* problem‑solving approach with a focus on continuous improvement and consistency in execution.
* familiarity with travel coordination, visitor management and event logistics.

* experience supporting sustainability and/or other operational tracking.
