create exceptional and personalized group and event experiences that reflect the essence of ultra luxury hospitality while building lasting relationships with clients, meeting planners, and guests.

the impact of this role

the position will be responsible for coordinating all details of the group’s meeting requirements, up to the ultra-luxury 5-star service standards when dealing with both external and internal customers. Ensure all aspects of each program are delivered flawlessly and to the satisfaction of both the meeting planner and the attendees to win them long term.

key responsibilities

* lead the planning, coordination, and flawless execution of all group and event programs, ensuring ultra luxury 5-star service standards and exceptional guest satisfaction throughout every stage of the experience.
* participate in site inspections, client menu tastings, and planning meetings to support conversion of prospective business and enhance the client experience.
* drive revenue optimization by identifying upselling opportunities, maximizing function space utilization, and proactively supporting ancillary revenue generation through strategic event planning and client relationship management.
* serve as the primary contact between clients and operational departments, ensuring seamless communication, accurate event documentation, and effective coordination of all event logistics, including banquet event orders, resumes, rooming lists, and audiovisual requirements.
* oversee client relationships from pre-planning through post-event follow-up, leading conference reviews, managing billing accuracy, handling attrition and cancellation processes, and ensuring long-term client loyalty through personalized and proactive service.
* monitor event budgets, deposits, and billing processes to ensure financial accuracy, profitability, and achievement of revenue goals.
* manage and support on-site event operations by coordinating vendors, special requests, amenities, itineraries, and operational teams while participating in key resort meetings to ensure all group requirements are executed efficiently and to the highest hospitality standards.

critical skills & qualifications

* ability to read, write, and verbally communicate effectively and professionally with other business departments, guests, and vendors in spanish & english.
* exceptional attention to detail and ability to manage multiple complex events simultaneously in a fast-paced environment.
* knowledge of banquet and catering functions, audiovisual requirements, and an understanding of meeting room setups.
* ability to multitask and service customers along with operational tasks within time sensitive deadlines.
* technical experience with group planning platforms delphi, opera, excel, and/or social tables.
* luxury hotel experience preferred.
