Role summarywe are seeking a self-motivated, detail-oriented individual well versed in c-suit assistance / facilities administration & office coordination to act as the first point of contact at the mexican hq office and to support the management team with administrative tasks.responsibilitiesthe incumbent will be involved in daily administration tasks providing effective and efficient administration services, which will involve contact and exposure to highly confidential materials and information.meet and greet vip visitors, shareholders and clients.be the point of contact for building issues and security, including supporting the office relocation project.plan and execute on and off-site executive team meetings and coordinate company, team building, and office events.communication support with personnel announcements, consolidation of information for linkedin and intranet updates, support with other communications to personnel where required including org chart management for corporate.manage internal communication protocols and materials including video editing and updates.involved in daily administration tasks providing effective and efficient administration services, which will involve contact and exposure to highly confidential materials and informationsend/receive mail and packages from executive team (including coordinating with couriers)order and maintain office supplies, snacks and drinksvendor and budget management.organize domestic and foreign travel, accommodation, and transportation for executive team.collation and organization of expenses, including submitting monthly reports (for executive team only).act as a gatekeeper to ensure leaders time is spent on the highest priority issues.perform other duties as assigned by ceo as and when required.communicates internally with co-workers, supervisor/manager and management team.communicates externally with visitors, clients, travel provider, couriers, building contractors, vendors and peers.collaborates with other functions eg.
