Job description
the contract and lease specialist plays a critical role in maintaining strong contract and lease lifecycle discipline across real estate and procurement/sourcing. This role ensures governance, accuracy, and visibility across the organisation's portfolio of commercial contracts and property leases, supporting informed decision‐making and operational efficiency. Sitting at the centre of data quality, compliance, and stakeholder coordination, the role provides foundational support for how the business manages spend, assets, and obligations – while offering a strong development path for early‐career talent looking to grow in procurement operations, real estate, or broader business operations.
responsibilities
* contract & lease lifecycle management:
* intake & setup:
o support initiation of new contracts and leases, ensuring documentation, key terms, and metadata are complete and validated.
o prepare, draft, and support review of contract documents, amendments, and schedules.
o facilitate contract approval workflows and ensure alignment to governance standards.
* ongoing administration & compliance:
o maintain a central repository of all contracts and leases, ensuring accuracy, consistency, and accessibility.
o maintain accurate lease records including financial terms, rent escalations, break clauses, critical dates, and landlord details.
o monitor obligations, deliverables, and compliance requirements and proactively flag risks or gaps.
* renewals, critical dates & key events:
o track and manage key renewal dates, expirations, notices, and break options.
o coordinate key lease activities such as inspections, handovers, moves, and dilapidations.
o work with real estate, sourcing, and legal to support renewals, renegotiations, or terminations.
* data accuracy & quality control:
o act as the first line of defense ensuring clean, accurate, and validated contract and lease data.
o perform quality checks to maintain audit‐ready documentation and metadata.
o support internal and external audit requests with clarity, completeness, and responsiveness.
* reporting, insights & visibility:
o produce regular reporting on contract status, key milestones, renewal pipelines, risks, and opportunities.
o use reporting to enhance visibility for stakeholders and support operational decision‐making.
o maintain high standards of data integrity within contract management and lease administration systems.
* stakeholder collaboration & communication:
o serve as a proactive point of contact for contract and lease‐related queries.
o work closely with real estate, sourcing, legal, finance, and facilities.
o communicate clearly, follow through reliably, and help reduce friction across cross‐functional processes.
* continuous improvement & ways of working:
o contribute to strengthening contract governance processes and improving lifecycle discipline.
o drive documentation consistency, process adherence, and continuous improvement.
o support adoption of modern tooling, automation, and ai‐enabled workflows.
qualifications
* skills & experience:
o essential:
+ experience or exposure to contract administration, lease administration, procurement operations, legal support, or related field.
+ strong attention to detail and commitment to data accuracy.
+ ability to organize, prioritize, and manage multiple responsibilities.
+ effective written and verbal communication skills.
+ comfort learning and using clm, erp, document management tools, and microsoft office.
o desirable:
+ experience reading or interpreting commercial contracts or property leases.
+ background in procurement, real estate management, legal administration, or facilities management.
+ experience with automation or interest in ai‐enabled workflows.
