We are seeking a highly organized and resourceful remote executive assistant & operations specialist to support the keynote speaker and consultant,in running and scaling her business. This role blends executive support, client coordination, event logistics, marketing operations, and systems management.
the role begins part-time (20 hrs/week) with the possibility to grow into a full-time position as scope expands.

key responsibilities:
event & client support
* event logistics: coordinate travel, lodging, shipping, run-of-show details, onsite support materials, and media collection.
* speaking & workshops: prepare/send pre-event materials, confirm av needs, gather audience info, manage surveys, and send thank-you notes.
* client coordination: schedule coaching and speaking sessions, send intake forms, track renewals, and provide light client communication.
executive & administrative support
* manage calendar, protect focus/travel time, flag high-priority emails, and coordinate scheduling.
* track invoices, payments, and expenses; follow up on outstanding balances.
* maintain updated bios, headshots, and deadlines for proposals/pitches.
marketing & content operations
* format, schedule, and distribute monthly newsletters; maintain mailing lists.
* maintain crm records in pipedrive and (clients, testimonials, media, pipelines).
* research associations, chapters, and industry events; build lead lists and outreach calendars.
* build/schedule campaigns, support re-engagement with past clients, and track performance.
* maintain speaker bureau profiles (e.g., e-speakers) and draft press releases.
* update website content, metadata, and seo performance (basic wordpress).
* repurpose content: upload recordings, draft email/social copy, pull quotes, and create short-form pieces.
* design graphics for lead magnets, one-pagers, and event materials (primarily in canva).
* draft and schedule captions/posts; clip recordings for social media; ensure consistency with brand voice.
systems & organization
* manage digital assets and folders for easy retrieval.
* document workflows and sops in notion.
* maintain organized, accessible databases and project systems.
preferred experience
* productivity & docs: microsoft word, powerpoint, notion
* web & marketing: wordpress (basic seo), canva, convertkit
* crm & ops: pipedrive, databases
* media & ai tools: capcut, descript, chatgpt, claude
* strong written communication (c2/native level).
* prior experience supporting speakers/authors is a plus, not required.
