about the role
a u. S.-based residential real estate closing firm is hiring an experienced remote bookkeeper to support its accounting manager with day-to-day bookkeeping across a high volume of transactions. This is an internal, back-office role — you will not be client-facing. Your job is to lighten the accounting manager's load by owning the daily mechanics cleanly and accurately, so she can focus on higher-level work and the firm's cpa team can handle the rest.
this is a structured role with established systems and clear procedures. You'll run those systems, not redesign them. The firm deals with large sums of client and trust money, so accuracy and care are non-negotiable. The right person is a seasoned operator who already knows the mechanics cold, asks questions instead of assuming, and does not need to be walked through reconciliations or entries day after day.
what you'll do
- enter bills into ramp and schedule vendor payments - reconcile bank and credit card accounts, including three-way reconciliations - categorise expenses and assign each transaction to the correct entity, location, attorney, or account - process a high daily volume of transactions accurately (100+ entries a day) - run reports on employee expenses and follow up on missing receipts - review daily exceptions in the firm's case management platform - assist with payroll preparation, including commission-based payouts for attorneys (calculations are handled in excel — your job is to verify funds and accuracy) - maintain vendor lists and organise supporting documents including contracts and w-9s - manage the accounting email inbox and keep records audit-ready - track tasks and recurring work in asana (training provided)
what you'll bring
- 5+ years of hands-on bookkeeping experience, with deep, demonstrable work in ap, ar, reconciliations, and expense categorisation - hands-on net suite experience. This is a core platform for the firm and there is no time to teach it from scratch. Candidates without real net suite exposure should not apply. Experience with quick books, xero, or comparable accounting platforms is useful background, but does not substitute for net suite. - strong command of accounting fundamentals — you can explain in your own words how debits, credits, ap, ar, and reconciliations connect, and you spot when something looks wrong rather than just entering what you're given - ability to confidently explain and perform a three-way reconciliation - sharp attention to detail at volume, with a track record of catching and correcting your own errors - comfort with structured systems and sops, and a habit of asking questions rather than assuming - a self-starter who does not need micromanaging — you take initiative, prioritise sensibly, and flag issues early - clear, professional written english (most internal communication is in writing; emails must be clear and accurate) - advanced excel (formulas, pivot tables, basic macros)
strong advantages
- bilingual in english and spanish — the accounting manager is a native spanish speaker, and day-to-day communication can run in both languages. Spanish is a genuine working asset here, not just a nice-to-have. - direct experience with ramp (ramp is straightforward to learn, so this is a plus rather than a gate) - experience with clio or trust/iolta accounting - bookkeeping experience in a law firm or legal/real estate environment - experience supporting a u. S.-based accounting team remotely
work setup
a reliable home office, stable internet, and a tested backup plan for power or connectivity outages are assumed. You'll be expected to be online during u. S. Eastern business hours.
