we are a canadian ecommerce company specializing in medical and senior care products sold through major online marketplaces and our wordpress website. We serve a customer base that values discretion, professionalism, patience, and trust. Accuracy and reliability are critical in our business.

we are looking to build a long-term working relationship with someone who takes ownership of their work and grows alongside the company.


about the role

we are hiring an ecommerce & operations virtual assistant to manage daily ecommerce operations and customer support across multiple sales channels including online marketplaces and our wordpress website.

this role focuses on order administration, customer communication, basic website updates, and ongoing administrative support so the owner can focus on fulfillment and strategic growth.

the ideal candidate is detail-oriented, calm under pressure, trustworthy, and communicates with customers in a respectful, patient, and professional manner.


key responsibilities


ecommerce operations & order administration

* log into walmart marketplace, amazon seller central, and wordpress daily
* review and organize all orders across channels so they are ready for warehouse fulfillment
* create and maintain daily order lists in google sheets, including skus, customer names, and key notes
* prepare shipping labels and ensure tracking details are properly updated
* monitor marketplace issues such as claims, returns, price competitiveness, and order adjustments
* flag unusual patterns, errors, or operational issues early and provide clear summaries to the owner
* refunds will be reviewed and processed directly by the owner


customer support & communication

* manage customer messages from walmart and amazon
* respond to customer emails and live chat inquiries professionally and promptly
* handle order changes, sizing questions, and general support inquiries
* answer inbound phone calls when required, take clear messages, and escalate urgent matters
* maintain a calm, friendly tone appropriate for senior customers and caregivers


wordpress website updates & maintenance

* confidently navigate wordpress and woocommerce
* upload products using provided images, pricing, and details
* support website upkeep including formatting corrections and spotting content issues
* create and publish blog posts using ai tools and owner guidance
* assist with basic seo tasks and updates in google search console when requested


invoicing & administrative support

* update invoice numbers and dates using owner-provided templates
* maintain organized and accurate records in google sheets and notion
* assist with structured workflows and documentation inside notion
* complete simple posting or administrative tasks when requested


research & outreach support

* build lists of medical supply businesses, clinics, and related organizations
* gather names, emails, phone numbers, and organized notes
* prepare draft outreach emails for owner review
* support linkedin and research tasks as trained

* walmart marketplace

* wordpress + woocommerce
* google sheets
* google search console
* clickship (shipping labels)
* notion
* email and live chat platforms


qualifications & skills required

* strong written and spoken english with professional phone etiquette
* hands-on experience with wordpress (must navigate confidently)
* experience with ecommerce platforms (amazon seller central and/or walmart marketplace preferred)
* strong attention to detail and ability to manage many small daily tasks
* calm, respectful communication style
* high integrity and confidentiality
* comfortable following checklists and structured workflows


preferred

* experience with woocommerce
* experience with shipping workflows, tracking, and order management
* basic seo and blog publishing experience
* experience handling sensitive customer information


privacy & trust

you will handle customer names, order information, and business operations data. Access will be limited and permission-based. Professionalism, discretion, and confidentiality are essential.


training & onboarding

the owner will provide structured training on workflows, templates, and channel rules. We are looking for someone who learns quickly, takes notes, asks thoughtful questions, and improves consistently.
