Job overview:

we are seeking a highly organized and proactive vendor relations manager to oversee vendor relationships and coordinate service delivery. This role involves quoting and coordinating jobs, negotiating rates, managing dispatch, and ensuring high-quality outcomes. The position requires balancing customer service, vendor management, and accurate data entry while maintaining profitability.

the vendor relations manager is essentially the solutions person, responsible for connecting materials with the right outlets — from haulers and recycling centers to buyers for resale items, waste management companies, and other specialized vendors. The ideal candidate will be self-motivated, detail-oriented, and capable of handling multiple tasks efficiently while driving both operational success and sustainable solutions.

primary responsibilities -

quoting & client interaction:

* respond to client requests for quotes via email or phone.
* support internal requests from the sales team by providing tailored solutions.
* negotiate rates with vendors in different regions and create accurate quotes for clients, ensuring a minimum 40% profit margin is maintained.
* provide quotes back to clients within 2 to 4 hours of receiving the request and follow up diligently to close the job.

vendor management:

* build and maintain strong relationships with vendors, including haulers, recycling centers, liquidators, buyers, waste management companies, destruction facilities, and landfills.
* negotiate pricing and coordinate job scheduling with vendors.
* monitor job progress and ensure completion on time, including obtaining before-and-after pictures and dump receipts.

job coordination:

* once a quote is accepted, coordinate with the selected vendor to schedule and ensure job completion.
* maintain clear communication with clients throughout the process, ensuring they are kept informed.

data entry & systems management:

* use airtable to generate quotes and ensure all job data is entered accurately.
* once a job is confirmed, trigger notifications to slack to notify the team of the accepted and booked job.

sourcing & vendor database growth:

* during downtime, actively search for and onboard new vendors to expand the vendor database and increase the variety of options available.

performance metrics:

* respond to client requests and send quotes within 4 hours.
* maintain a minimum 40% profit margin on all jobs.
* achieve an average monthly gross revenue of at least $25,000 from jobs managed.
* maintaining the vendor database, documents and qualification questions must be completed.

qualifications:

* proven experience in customer service, sales, or vendor management (preferably in a related industry like logistics, junk removal, or operations).
* strong negotiation and communication skills.
* highly organized and able to manage multiple tasks with attention to detail.
* comfortable using hubspot, airtable, and slack; prior experience with these tools is a plus.
* ability to work independently while also collaborating with a sales team when needed.
* motivated to exceed goals and contribute to team growth.

compensation & performance review:

* starting pay is $12/hour.
* after 3 months, a performance review will take place based on the following scoring system:

* score of 5: eligible for a $2/hour raise.

* score of 4: eligible for a $1.5/hour raise.
* score of 3: eligible for a $1/hour raise.
* scores below 3: no raise will be provided.

additional profit-based bonus:

* profit-based bonus: employees will receive a bonus based on the total profit generated from solutions they found or deals they contributed to. The bonus will be a percentage of the total profit from the deal, based on the following structure:

* score of 5: 3% of the total profit.

* score of 4: 2% of the total profit.
* score of 3: 1% of the total profit.
* score of 2: 3% of the total profit.
* scores below 2: no profit-based bonus will be provided.

pay: $ $225.00 per hour

expected hours: 40 per week
